Executive Secretary - Legal Affairs

• Provide secretarial support to the Legal Affairs Department (SAJ) • Provide administrative support to members of the Legal Affairs Department and manage administrative follow-up of files as well as their physical and electronic filing, from receipt to archiving, including indexing • Independently handle certain aspects of legal files under the supervision of legal advisors • Manage the department’s organizational follow-up (telephone reception, meeting coordination, calendar management, internal administrative procedures, etc.) • Draft letters and documents with legal content (emails, letters, minutes, briefs, lists of exhibits, etc.) • Create and update documents such as drafts, tables, schedules and PowerPoint presentations according to the department’s needs
Job Requirements
- Commercial apprenticeship diploma (CFC) or equivalent qualification; certification in legal secretariat is an asset; full executive secretary training
- At least 5 years’ professional experience as an executive secretary with a court, a public prosecutor’s office, a legal department or a law firm
- Knowledge of the Geneva healthcare network and/or the Geneva judicial organization is an asset
- Energetic, personable and flexible — these qualities are essential for this role
- Ability to work independently, strong attention to detail, excellent drafting and organizational skills
- Proven computer skills and excellent command of standard office tools, notably Word, Excel, Outlook and PowerPoint
- Team spirit, discretion and the ability to work autonomously
- Pragmatic, highly adaptable and able to take initiative to manage a heavy workload often under tight deadlines
