• Managing and organizing the CEO's inbox, calendar, meetings, reminders, notes, and follow-ups — ensuring nothing important falls through the cracks and his time is always protected and well-used. • Capturing open loops, ideas, commitments, and action items — and turning vague or half-formed inputs into clear, organized next steps with owners, deadlines, and priorities attached. • Building and maintaining simple, practical systems around the CEO — trackers, decision lists, weekly briefs, follow-up rhythms, and project status updates — so he always has a clear picture of what needs his attention. • Categorizing and prioritizing projects by owner, deadline, status, and decision needed — helping the CEO decide what should be active, delegated, deferred, escalated, or removed from his plate entirely. • Following up proactively with internal team members, vendors, partners, candidates, attorneys, and other stakeholders — keeping commitments on track and moving things forward even when the CEO is focused elsewhere. • Leading or fully owning certain projects and strategic initiatives from start to finish — gathering context, coordinating the right people, and driving to completion with minimal direction. • Preparing concise summaries, meeting briefs, recaps, and recommendations that help the CEO make faster, better-informed decisions. • Protecting the CEO's focus and tactfully pushing back when he is the bottleneck — comfortable managing up and respectfully challenging a senior leader when the situation calls for it. • Coordinating work across marketing, sales, hiring, legal and vendor follow-up, internal operations, product initiatives, and other strategic projects as needed.

Job Requirements

  • 6+ years in a Senior Executive Assistant, Executive Operations, Strategic Projects, Project Manager, Chief of Staff associate, or similar high-level support role — with direct experience supporting a founder, CEO, owner, or C-suite executive.
  • Proven ability to create structure where none exists — you build systems, trackers, and operating rhythms from scratch rather than waiting for a perfect setup to be handed to you.
  • Strong project coordination experience across multiple stakeholders — you can gather context, identify what matters, coordinate the right people, and keep things moving without losing threads.
  • Excellent written communication and synthesis skills — you write clearly, concisely, and can adapt to someone else's voice and communication style.
  • Strong independent judgment — you can sense when something is unclear, under-thought, or not quite good enough, and you act on that instinct without being asked.
  • Comfortable with ambiguity and fast-moving environments — you do not need every step handed to you and you do not become frantic when priorities shift.
  • Comfortable managing up — you can respectfully push back on a senior leader, flag bottlenecks, and hold the CEO accountable when it serves the work.
  • Experience in a fully remote or distributed work environment with a high degree of independence and accountability.
  • Proficiency with tools such as Google Workspace, Slack, ClickUp, Notion, HubSpot, Airtable, or equivalent platforms.
  • High discretion and trustworthiness — you handle sensitive and confidential information with absolute professionalism at all times.
  • Comfort and proficiency using AI tools to support research, drafting, synthesis, and workflow creation is a strong plus.

Role Description Supports the Medical Management department at SCAN by responding to provider calls and faxes, entering inpatient and related data into the case management system (CCMS), authorizing SCAN services under the direction of clinical staff and supporting the Medical Management clinical staff in securing information needed to ensure the delivery of quality care and services to SCAN members. You Will: - Support the authorization, monitoring and the processing of claims for inpatient and outpatient services by entering data into designated system and triaging events per department guidelines. - Maintain data entry requirements by following established workflows and departmental policies and procedures. - Verify member data by researching eligibility, member participation in SCAN Care Management Programs, benefits, network provider status, contracts and division of financial responsibility (DOFR). - Maintain telephone standards by answering calls within established turnaround times. - Serve as a resource for internal and external customers by ensuring services are provided within the benefit plan and utilizing contracted providers; work to develop a collaborative partnership with our network providers. - Ensure effective working relationships with providers by interacting in an appropriate, timely, professional manner, and promptly reporting any problems or issues. - Maintain the member‘s right to privacy and protect SCAN operations by keeping information confidential. - Utilize department desktop procedures, workflows, job aids and training material; identify barriers and bring to the attention of the supervisor/manager. - Communicate effectively with members by providing appropriate and timely information and by showing courtesy and respect each member, their caregivers and/or representatives. - Adhere to all quality, compliance and regulatory standards to achieve HCS and SCAN outcomes. - Contribute to team effort by accomplishing related results as needed. - Actively support the achievement of SCAN’s Vision and Goals. - Other duties as assigned. Qualifications - High School Diploma or equivalent required.
