Role Description The Project Manager - IT is instrumental in delivering exceptional customer service to enhance our client’s experience. This role is responsible for overseeing the project lifecycle, coordinating and managing IT projects of varying size and complexity from initiation to completion, ensuring they are delivered on time, within scope and on budget. This role works closely with the customer to ensure expectations are met, working with internal teams and external resources to initiate, monitor progress, track deliverables and maintain a high level of communication throughout the project lifecycle. This role will deliver a “white glove” experience to minimize risk and maximize customer satisfaction. Essential Functions: - Plan and manage end-to-end IT projects, including scheduling and execution, ensuring alignment with business objectives and customer expectations. - Coordinate with internal teams, vendors and subcontractors to ensure proper resource allocation. - Address scheduling conflicts, escalating those that impact timeline and budget. - Track and manage assigned portfolio including project activities and milestones, ensuring resources are aligned with timelines and deliverables. - Update project workplan to match customer-agreed upon Statement of Work (SOW). - Approve ordering and follow product deliveries. - Manage scope and change management ensuring clear documentation, communication and approval by relevant stakeholders. - Coordinate technician schedules and activities. - Continuously monitor progress in terms of the status, budget and profitability. - Be the point of contact for project updates, fostering strong customer relationships. - Conduct internal and external kick-off calls. - Regularly communicate project updates, ensuring stakeholders are informed on progress, risks and challenges. - Report out and up to the project team, management and the customer on predetermined intervals. - Communicate completion status and obtain customer acceptance, facilitate post-project reviews and support hand-off to ensure customers are satisfied with outcomes and maintain a positive relations post-delivery. - Proactively suggest improvements to project management processes to increase efficiency and effectiveness. - Monitor potential risks and issues that could result in delays, change orders or scope creep. - Identify and monitor where additional time or resources are required and where efficiencies could be made. - Develop mitigation plans to ensure project continuity. - Take corrective action to reduce risks that might impact scope, schedule, quality and cost. Quality Assurance, Documentation and Reporting: - Understand the technology being installed to answer questions and conduct training (where applicable). - Ensure project deliverables are in alignment with project specifications. - Maintain comprehensive project documentation including project workplan, status reports, meeting notes and time entries. - Track to report on key project metrics, including progress against timeline, budget adherence and overall project health. - Attend required company and departmental meetings. - Act in accordance with Marco policies and procedures as set forth in the Employee Handbook. - Perform other related duties as assigned. Qualifications - Bachelor’s degree and four years of relevant experience; or equivalent combination of education and experience in a project coordination, project management or service delivery role, ideally within an IT-focused environment. - Understanding of IT terminology and PSA ticketing systems. - Knowledge of IT service delivery principles, including incident and change management. - CAPM or PMP (Certified Associate Project Manager or Project Management Professional), Agile, Scrum or similar certification preferred. Requirements - Proficiency with business collaboration tools such as MS Office applications and project management tools. - Ability to create and use Gantt charts, spreadsheets or other appropriate tools to manage people and keep tasks up to date. - Excellent communication skills in working with technical and non-technical people, including the ability to present in front of a group and work with cross-functional teams and external vendors. - Accountability to see a project or task from start to finish. - Excellent analytical and organization skills, including the proven ability to adapt to a dynamic project environment and manage multiple projects. - Effective at building trust, finding common ground, having empathy and building good relationships with others. - Function collaboratively as part of a fast-paced, customer-oriented team but also perform effectively as an independent producer under broad management direction. - Ability to prioritize several tasks and keep them running simultaneously (multitasking). - Display excitement and a positive attitude towards work assignments, clients and organization. - Adapt to changes in the work environment. - Ability to manage emotions, especially negative ones, to be able to think clearly and objectively. - Ability to understand the other side’s motivations with the goal to achieve a win-win resolution that is favorable. - Broad understanding of financial management and budgeting principles.
