Job Description

SENIOR OPERATIONS MANAGER SCALABILITY

Kentech Consulting Inc

Role Description This role is for a true operator. You know how to build repeatable systems, spot bottlenecks, run a cadence, and drive outcomes. You are financially aware, process-driven, and comfortable using modern tools, including AI, to move faster and work smarter. This role requires comfort with changing priorities and tight deadlines, law enforcement clients can call with urgent requests at 5pm on Friday. What You’ll Own - Weekly operating cadence (core) - Own and run the weekly operating rhythm for delivery performance, including clear visibility into volume, capacity, deadlines, quality, and risks. - Drive accountability through action tracking, follow-ups, and continuous process improvement. - Operational efficiency and scalability - Identify bottlenecks, redesign workflows, and reduce friction across the investigation lifecycle. - Standardize processes into clear SOPs that hold up as we grow. - Capacity planning and forecasting - Build and maintain staffing and capacity models tied to volume, throughput, and deadlines. - Make clear recommendations on resourcing, workload balance, and performance targets. - Cost and margin awareness - Partner with finance to understand unit economics and protect margin as volume increases. - Improve productivity and reduce cost per case without sacrificing quality. - Tooling and automation - Improve workflows using tools we already use (Google Workspace, dashboards, case systems). - Hands-on experience using ChatGPT, Claude, or similar AI tools to automate workflows and reduce manual work (not just policy or governance experience). Example Project A government client needs 500 background checks completed in 30 days. You would: - Assess current capacity and forecast throughput against the deadline. - Build a staffing and workload plan (including contingency plans). - Stand up a weekly dashboard showing progress, risks, and quality metrics. - Identify bottlenecks and drive process changes to stay on time and on budget. - Use automation or AI where it makes sense to reduce manual work. Qualifications - 5+ years leading operations in a service-based, high-volume, or fast-growth environment. - Direct experience scaling workflows, improving cycle times, and building operating rhythm. - Track record of improving operational efficiency without proportional headcount increases. - Experience with capacity planning, forecasting, and performance management. - Comfort with operational metrics and financial basics (cost awareness, productivity, budgeting). - Strong documentation habits (SOPs, process maps, clear communication). - Technically savvy and tool-comfortable, including practical use of AI tools in day-to-day work. Requirements - Preferred (Not Required) - Startup, BPO, SaaS, compliance, government contracting, or regulated operations experience. - Experience working in a high-trust environment with sensitive information. - Background screening experience. - Not a Fit If - You prefer structured, predictable workflows with well-established procedures. - You see operations as reactive firefighting instead of proactive system-building. Benefits - Base salary: $75,000–$95,000 (depending on experience). - Profit sharing. - 401(k). - Health and dental insurance. - Paid time off. - Remote-first. - Direct access to senior leadership and high-visibility work. - Clear path to Director of Operations as the company grows. Role Description Repair the World is looking for an organized, detail-oriented early-career professional to support the day-to-day operations of our service corps program. This role keeps the moving pieces of the corps member experience on track — from onboarding and paperwork through hours tracking, surveys, and stipend payments — and brings that work into one place so Repair staff can stay focused on participants and partners. You'll be the connector across Repair's local staff, and cross-functional departments including finance, operations, and data team, making sure deadlines are met, records are accurate, and communication to corps members is timely and clear. Much of this work lives across Salesforce, Monday.com, Adobe Sign, and Bill.com, so comfort moving between systems and a steady eye for detail go a long way. This is also a chance to make that work lighter. You'll help spot where AI tools and automated workflows can take the repetitive parts of our admin and ops systems off people's plates, and help build them in. You'll also use AI tools, including Claude, to speed up drafting and participant communications — so more of your time goes to the judgment calls and follow-through that actually need a person. This is a full-time non-exempt temporary role through December 23, 2026. The Communities Operations Associate will report to the Senior Director of Community Impact and work closely with other members of the programs team. Key Responsibilities - Onboarding & Confirmation: - Monitor the service corps application pipeline in Salesforce and work with local staff to keep applicant and corps member records current as they move from applied through confirmed. - Track completion of onboarding paperwork — signed agreements, banking, and tax forms handled through Adobe Sign — and follow up on anything outstanding. - Add confirmed corps members to the city-specific payment tracking boards in Monday.com and confirm completed paperwork reaches the finance inbox. - Support a smooth experience from acceptance through a corps member's first weeks. - Data, Hours & Surveys: - Track service hours logged in Salesforce and communicate with local staff if any corps members are behind to help them catch up. - Support local staff in monthly cohort time data uploads, including learning engagements from partner cohorts that are tracked outside Salesforce. - Work with the Data Team to track pre- and post-program survey completion, and follow up with Repair staff regarding any corps members who still need to finish them. - Enter data for the overarching components of the program and help fill data requests from program staff. - Payments & Finance Coordination: - Review the Monday.com payment boards to confirm corps members are ready for payment — surveys complete and hours logged — and keep statuses updated weekly. Communicate any challenges directly with local staff for follow up. - Coordinate with the finance team to move approved payments through Bill.com and resolve questions along the way. - Service Partners & Curriculum Support: - Support intake of service partner interest forms and keep the partner board in Monday.com current. - Ensure all service partners have signed MOUs and provide up-to-date Certificates of Insurance. - Collect curriculum submissions from local staff and support a light quality-control review. - Cross-Team Coordination & Administration: - Review and update service corps systems and tasks to make service corps easier to hand off and repeat, and onboard new staff to service corps systems and processes. - Contribute to an internal, cross-functional working group to identify efficiencies and flag blind spots. - Identify and help build AI tools and workflows into admin and ops systems to support operational efficiency. - Use AI tools, including Claude, to support drafting and communications workflows. Qualifications - Detail-oriented. - Organized under deadlines. - A clear communicator. - A problem-solver. - Comfortable with systems. - Collaborative. - Grounded in our mission. Requirements - 1–2 years of professional experience in operations, program coordination, administration, or a similar role. - Comfort with data entry and a high bar for accuracy. - Experience with, or the ability to quickly learn, Salesforce, Monday.com, Google Workspace, and e-signature and payment tools like Adobe Sign and Bill.com. - Strong written and verbal communication. - Commitment to Repair's mission of Jewish service and learning. Benefits - Paid time off for service in addition to vacation, sick time, personal days, and holidays. - Employer covers 100% of full-time employee's health premiums (medical/dental/vision) for most plans and 50% for dependents. - Retirement matching. - Professional development funds. - Employer-paid short and long term disability coverage. - Access to the Jewish Learning Collaborative and our Economic Access Fund. - 16 weeks of paid parental leave (pro-rated for employees with Repair less than 6 months) for employees that have been with Repair for at least six months. Application process - Submit your resume and a thoughtful and concise cover letter here. - Applicants moved forward will have a first-round screening with a member of Repair's People & Culture team. - Applicants who are moved to the second round will interview with Senior Director of Community Impact and another member of the Programs team. - Finalists will interview in-person with a member of Repair's leadership team. Two professional references will be requested before the final round of the interview process.
