Staff Project Manager – IT Enterprise Applications

• Lead end-to-end delivery of enterprise application projects including system implementations, integrations, upgrades, and process transformation initiatives • Define and manage full project lifecycle: scope, timeline, resource plan, risk register, budget tracking, and post-go-live support • Partner with IT Product Managers, architects, engineers, vendors, and business stakeholders to gather and translate requirements into executable project plans • Establish and maintain executive-level project reporting, including steering committee decks, status dashboards, and escalation frameworks • Identify, assess, and proactively manage project risks and dependencies; escalate blockers with recommended resolution paths • Champion AI-assisted tooling and automation to improve project delivery velocity, documentation quality, and stakeholder communication • Evaluate and integrate AI tools (e.g., generative AI for requirements documentation, process mapping, testing, and reporting) into standard PM workflows • Lead vendor management activities including SOW review, milestone tracking, and performance accountability • Facilitate retrospectives and drive continuous improvement across the IT PMO practice • Mentor junior project managers and contribute to the development of PM standards, templates, and governance frameworks

Job Requirements

  • 6+ years of project management experience with a focus on enterprise application implementations (e.g., Salesforce, Workday, NetSuite, ServiceNow, or similar platforms)
  • Proven ability to lead large-scale, technically complex programs in a fast-paced environment
  • Deep understanding of software development lifecycles (Agile, Scrum, Waterfall, and hybrid methodologies)
  • Experience managing cross-functional projects with significant organizational impact and multiple concurrent workstreams
  • Exceptional communicator with executive presence, a proven ability to translate complex technical concepts for C-suite and board-level audiences, with a track record of delivering crisp written materials and high-stakes presentations to senior leadership.
  • AI-savvy: hands-on experience leveraging AI tools (e.g., ChatGPT, Claude, Copilot, or similar) to accelerate project work — including documentation, analysis, meeting summaries, and status reporting
  • Proficiency with project management platforms (Asana, Jira, Smartsheet, or equivalent)
  • Strong analytical and problem-solving skills; comfortable working with data to inform decisions and surface project insights
  • Experience with Google Suite and modern collaboration tools
  • PMP, PgMP, or equivalent certification
  • Experience at a high-growth SaaS or cybersecurity company
  • Hands-on experience delivering AI/ML or automation-enabled technology projects
  • Familiarity with IT governance frameworks (ITIL, COBIT) and enterprise architecture principles
  • Experience building or scaling an IT PMO function
  • Background in both technical delivery and business operations roles

Role Description The Direct Mail Production Manager is responsible for overseeing the end-to-end production of direct mail campaigns. This includes customer service, project management, scheduling, vendor management and negotiations, as well as the procurement and coordination of various print formats such as digital print, commercial cut sheet, web/inline printing, personalization, lettershop services, retail collateral, premiums, inventory management, and postage reconciliation. - Oversee all aspects of direct mail campaigns; day-to-day vendor relations and coordination, including estimating, sourcing programs, cost/profit review, coordination of all scheduled deliverables with vendors and monitoring inventory levels as needed. - Ensure all deliverables meet company and client quality standards and comply with United States Postal Service (USPS) regulations. - Manage direct mail programs by adhering to project schedules, auditing data processing steps performed at the vendor level, follow project data process/workflow specifications, QC vendor production and materials. - Ensure the printer properly maintains all production equipment to prevent any disruptions. - Request postage funding, reconcile postage usage and reporting on campaigns. - Monitor inventory levels and initiate recorders as needed to avoid shortages or overages. - Track the status of direct mail campaigns and provide timely activity reports. - Keep the client status document current and attend weekly status calls per the client requirements. - Provide accounting staff with information as needed to support client invoices, vendor invoice review, postage refunds and tasks needed to expedite the client billing process. - Participate and assist as needed on RFP’s, production audits for new business and project reporting as needed by management. Qualifications - Strong verbal and written communication skills; able to represent the company professionally with internal and external contacts. - Proficiency in Microsoft Office and internet-based applications. - In-depth knowledge of USPS regulations and compliance requirements. - Strong organizational skills with the ability to manage multiple projects simultaneously.
