Assistant Controller

• Manage and maintain the Unanet system for project accounting, invoicing, timekeeping, and expense reporting. • Develop and implement internal controls to safeguard company assets and ensure accurate financial reporting. • Prepare financial statements in accordance with GAAP and ensure timely month-end and year-end close processes. • Oversee and assist with the monthly close process, ensuring timely and accurate recording of financial transactions in the general ledger. • Monitor and reconcile balance sheet accounts, ensuring that all entries are in compliance with established accounting principles and government requirements. • Support the accounting team in ensuring proper accounting for all costs, including direct and indirect costs, and ensure correct allocation to government contracts. • Oversee accounts payable and accounts receivable • Monitor cash flow and manage banking relationships to ensure financial stability. • Ensure invoices comply with contract terms, funding limitations, and applicable government regulations. • Coordinate with Contracts and Program Management teams to validate billing data, labor charges, and contract modifications prior to invoice submission. • Assist in the development of the company’s annual budgets and forecasts. • Monitor and report on budget versus actual variances. • Assist in maintaining and improving internal controls to safeguard company assets and ensure compliance with accounting and regulatory standards. • Support external and internal audits by providing necessary documentation, working papers, and clarifications for auditors as needed. • Review and monitor contract costs to ensure the accurate application of labor, materials, and overhead charges.

Job Requirements

  • 3+ years of proven experience as an Assistant Controller or similar financial role, within federal government contracting.
  • Advanced hands-on experience with Unanet, including project accounting, reporting, and financial management functionalities.
  • Advanced proficiency with Google Suite (Docs, Sheets, Slides) for collaboration and reporting.
  • Expertise in GAAP, financial reporting, and internal controls.
  • Strong analytical skills with the ability to interpret complex financial data and provide strategic recommendations.
  • Excellent communication and leadership skills, with a track record of effectively managing teams.
  • Bachelor’s degree in Accounting, Finance, or a related field is strongly preferred

Day-to-day, the Finance Controller: - Owns daily cash reconciliation across QuickBooks Online, Authorize.net, and ACH. - Supports month-end close and financial reporting with the fractional CFO. - Takes full ownership of a broken recurring billing and failed payment recovery process for annual storage fees. - Provides financial oversight of lab inventory. Success at 90 days means: - Zero errors in financial records. - At least one major collections or reporting process improvement implemented. - Reduced days-to-close. Qualifications - 5+ years of hands-on experience in financial operations covering daily transaction matching, cash reconciliation, month-end close support, and financial reporting. - Demonstrated proficiency in QuickBooks Online with direct use across multi-account reconciliation and financial reporting workflows. - Documented experience owning or rebuilding accounts receivable, recurring billing, or failed payment recovery processes in a subscription or recurring revenue business. - Proven use of AI tools (Claude, ChatGPT, or equivalent) for financial analysis, reporting automation, or workflow optimization — or demonstrated history of implementing financial automation tools. - Experience integrating data across multiple systems (CRM + accounting platform + payment processor) with full ownership of accuracy across the stack. - Minimum 2 years as the primary or sole finance operator in a company with fewer than 50 employees, with demonstrated autonomous execution under limited oversight. - English at C1+ (CEFR) — required for direct collaboration with US-based leadership and fractional CFO. Requirements - Direct experience with Salesforce as a revenue data source integrated into an accounting system. - Experience with Authorize.net, Stripe, or equivalent payment processors including ACH reconciliation. - Financial oversight of physical inventory or COGS in a lab, manufacturing, or supply chain environment. - Prior experience working alongside or reporting to a fractional CFO in an early-stage or scaling company.
