Job Description

Senior Paralegal – Personal Injury Litigation

Veta Virtual

• Support attorneys by managing a personal injury and civil litigation caseload from pre-filing through litigation milestones. • Own key tasks that keep cases moving efficiently and confidently, ensuring court deadlines are met, documents are filed correctly, and clients remain well-informed throughout the legal process. • Onboard onto active cases quickly, build and document your own processes where none exist, and produce consistent, high-quality output under pressure — from day one. • Managing personal injury and civil litigation caseloads independently — including approximately 20 active litigation and/or pre-litigation matters simultaneously. • Preparing, formatting, and filing key court documents including complaints, motions, and case management statements — with zero tolerance for recurring errors regardless of workload pressure. • Maintaining and updating case calendars with deadlines, hearings, and filings — anticipating what needs to happen next without being asked. • Drafting and coordinating discovery requests, responses, and related correspondence with precision and efficiency. • Working with clients, opposing counsel, and third parties to gather necessary case information and respond appropriately — asking targeted, efficient questions rather than requiring extended explanatory sessions. • Organizing, formatting, and proofreading legal documents using MS Word to ensure full compliance with court rules and internal quality standards. • Preparing exhibits, binders, and document sets for hearings, depositions, and trial preparation. • Using Clio Manage for case tracking, document storage, and client communications — keeping everything current and accessible at all times. • Collaborating with attorneys to support trial preparation as needed — self-sufficiently, even when lateral support is unavailable or unreliable. • Communicating with clients to gather facts, provide case updates, and ensure timely input on litigation strategy — always with professionalism and discretion. • Building and documenting workflows and processes where they do not yet exist — contributing to the operational structure of a growing firm rather than simply inheriting established systems.

Job Requirements

  • 5+ years of experience as a litigation paralegal, case manager, or senior paralegal in personal injury and/or civil litigation law — with a proven track record of managing caseloads independently and under pressure.
  • California personal injury litigation experience is strongly desired — familiarity with California court rules, filing requirements, and PI workflows is a significant advantage.
  • Demonstrated ability to operate with minimal supervision — you anticipate what needs to be done, take initiative without waiting for instructions, and communicate proactively rather than reactively.
  • Proven comfort working in unstructured, fast-growing, or startup-phase law firm environments — you build processes, you don't just follow them.
  • Ability to onboard onto active cases quickly and without a formal handoff period — producing quality output from day one in a high-volume environment.
  • Zero-tolerance approach to recurring document errors — your attention to detail is consistent and reliable under pressure, not only when the workload is light.
  • Concise, efficient, and targeted communication style — you ask the right questions when needed but do not require extended explanatory sessions for standard litigation tasks.
  • Ability to work self-sufficiently when lateral support is unavailable — you never depend on a colleague or internal resource to function effectively.
  • Comfortable working alongside a direct, results-focused, high-output attorney who communicates by exception rather than by routine check-in.
  • Expertise in calendaring deadlines, drafting litigation documents, and preparing case management statements.
  • Strong MS Word skills — capable of formatting legal documents to professional and court-compliant standards.
  • Experience with Clio Manage or equivalent case management tools, plus calendaring and e-filing familiarity.
  • Excellent written and verbal English communication skills — able to handle sensitive client information with professionalism and discretion at all times.

Benefits

  • 15 days of PTO plus U.S. national holidays off.
  • Fully remote role — work from anywhere with a professional home setup.
  • Opportunities to grow within the legal support field through ongoing collaboration with experienced attorneys.
  • A supportive, transparent, and organized work environment through Veta Virtual and our client.

Role Description We’re looking for a sharp, legally-fluent Triage Paralegal to serve as the first substantive touchpoint for incoming client matters. Think of it like a triage nurse with clinical training: you’re not just routing matters—you’re assessing them. If you thrive on variety, trust your own read, and have a low tolerance for things falling through the cracks, we’d like to talk. What You’ll Do - Matter Intake & Scoping - Own the intake process for all incoming client matters—review submissions, assess legal nature and complexity, and determine the appropriate path forward. - Ask precise clarifying questions to gather missing information efficiently, without creating unnecessary friction for clients or attorneys. - Categorize and prioritize matters based on urgency, client tier, subject area, and attorney availability. - Paralegal Work & Direct Handling - Handle standard paralegal tasks independently: minor revisions to agreements, entity filings, NDA reviews, contract summaries, template population, and document organization. - Draft correspondence and initial client-facing communications on behalf of the firm, as needed. - Maintain and update standard document templates as directed by attorneys. - Prepare matters for attorney handoff with a clear summary of the issue, relevant documents, and recommended next steps. - Routing & Assignment - Route attorney-required matters to the right person or team, with a clear read on complexity, specialty fit, and workload. - Maintain a real-time view of attorney capacity and help balance load across the team. - Escalate urgent or ambiguous matters quickly and confidently, with enough context for attorneys to act immediately. - Tracking & Follow-Up - Own the matter lifecycle from intake through resolution—maintaining accurate status in the firm’s matter management system at every stage. - Proactively follow up with attorneys and clients on open items, pending deliverables, and upcoming deadlines. - Flag stalled matters, surface blockers early, and drive issues to closure. - Client Communication - Serve as a consistent point of contact for clients on matter status, timelines, and next steps. - Translate legal complexity into clear, plain-language updates—communicating with confidence across founder, executive, and operating-level stakeholders. - Process & Systems - Work closely with attorneys and the engineering team to evaluate, build, and refine intake and routing workflows. - Identify patterns in matter volume, routing, and resolution time—surface insights that help the firm operate more efficiently. - Document and maintain SOPs for triage operations as the firm scales. Qualifications - Paralegal certificate or equivalent experience; bachelor’s degree preferred. - 3–5 years of paralegal, legal operations, or closely related experience in a law firm, legal tech, or in-house legal environment. - Solid legal foundation across commercial contracts and general corporate matters—you can read an agreement and know what matters. - Startup or high-growth company exposure strongly preferred—you’re comfortable with ambiguity and building process where little exists. - Located in Pacific Time or Central Time. Requirements - Excellent organizational instincts: you track everything, miss nothing, and communicate proactively. - Strong written and verbal communication skills; comfortable managing expectations with both internal teams and external clients. - You know what you can handle independently—and you’re equally clear about when something needs an attorney. - You have a low tolerance for things falling through the cracks—and a system for making sure they don’t. - You communicate with clarity, confidence, and friendliness regardless of who’s in the room. - You thrive on variety and can context-switch quickly without losing track of the details. Bonus Points - Tech-forward mindset—experience with project management tools such as Notion, CRMs, or workflow automation. - You’re curious about technology and excited about working in an environment that uses AI to change how legal services are delivered. - You’re energized by building better processes, not just executing existing ones. Compensation & Benefits - Base Salary: $80,000–$100,000, commensurate with experience. - 401(k) with 5% employer match. - Health & dental insurance fully covered, with partial subsidies for dependents. - Annual team onsites. - Training and development stipend. - Open to additional benefits that meaningfully support productivity and wellbeing.
