Boeing Ukraine LLC is looking for Administrative Assistant to join our team in Kyiv. This position is expected to be 100% onsite. The selected candidate will be required to work onsite at the listed location. Position Responsibilities: - Process and route, regularly throughout the day all mail. - Communicate with the building administration regarding permanent/temporary passes to the building, work during off-hours, temporary car passes. - Keep track of all the visitors to the office daily. Strictly follow security requirements accepted for the office. - Translate from English into Ukrainian or vice versa, if requested or provide translation services. - Coordinate mail and shipments - Coordinate leased or company owned vehicles, taxi upon request. - Keep the photo archive; get photos printed. - Provide travel support to company employees and partners, including visas, rented cars, ground pick up, VIP lounge and other special arrangements. - Performs recurring invoice processing, cost analysis or other business objectives through collecting, processing and distributing documents or data. - Coordinate Record Information Management (RIM) and document storage requirements. - Locate and assemble information for various meetings, reports, briefings, etc. - Order stationery for the office. - Keep first aid medical kits on each floor complete. - Monitor newspapers subscription. - Order business cards/holidays postcards/special souvenirs. - Write simple or repetitive, non-technical correspondence in accordance with a given format. - Provide secretarial supporting when required. - Perform other duties as assigned. - Managing reception / front office including answering calls, screening & badging the visitors, receive various deliveries (office supplies, documents, couriers), coordinating for shipping, distribution of mails, booking conference rooms. - Facilitate non-Boeing visitor access and on-site support. - Ensure office supply availability, order accordingly and maintain the stock. Basic Qualifications (Required Skills/Experience): - Bachelor's degree. - Languages: Ukrainian, English Upper-Intermediate is a must. - Proficient in Microsoft Office (Word, Excel, PowerPoint), Outlook. Preferred Qualifications (Desired Skills and Experience): - Graduate degree in administrative or secretarial studies. - 2 years of relevant work experience in hospitality or travel business or multinational company. Professional skills: - Business writing, knowledge of office management systems and procedures, organizational and planning skills. - Proven admin or assistant experience.
