Role Description We are seeking a highly professional, articulate, and experienced Virtual Dental Receptionist & Patient Care Coordinator to join a dynamic, multi-provider dental practice. In this role, you will serve as a vital administrative engine, working under the direct guidance and training of the client. Operating in a high-volume environment where different dentists rotate daily, you must be a sharp, agile multitasker. Patients are dynamically assigned to the first available provider, meaning you must excel at managing a fluid schedule without individual doctor preferences. Because you will be managing patient relationships and complex insurance verification, 3 to 4 years of hands-on U.S. dental practice experience, flawless bilingual communication skills, and complete technical fluency in EagleSoft and Weave are absolute, non-negotiable requirements. Core Responsibilities - Patient Coordination & Schedule Optimization (Initial Focus) - Active Schedule Recall: Take complete ownership of the practice's recall list, proactively contacting patients to schedule routine hygiene visits, outstanding treatments, and cleanings. - Smart Scheduling: Manage a complex, fast-moving calendar, ensuring maximum chair utilization for the rotating daily dentists while maintaining a smooth patient flow. - AI Call Overflow Management: Monitor and instantly capture live inbound call overflows routed from our automated AI receptionist system, delivering a warm, human, concierge-level experience over the phone. - Expanded Practice Operations - Dental Insurance Verification: Execute comprehensive eligibility checks, break down complex dental benefits (preventive, basic, major), track annual maximums, and input data into patient files. - Treatment Plan Follow-Ups: Conduct proactive outreach to patients who recently had exams, answer their questions regarding proposed treatments, and guide them to commit to booking their procedures. - No-Show Recovery: Fast-track the rescheduling of broken appointments, cancellations, and no-shows to keep provider production schedules optimized. - Cross-Functional Administrative Support: Maintain a flexible, "can-do" mindset, readily picking up additional administrative and front-office tasks as required by the clinical team. Qualifications - U.S. Dental Domain Expertise: Minimum 3–4 years of direct experience working on the front office team of a U.S.-based dental practice. - Bilingual Mastery: Complete, accent-free verbal and written fluency in both English and Spanish. Must be comfortable discussing clinical terminology and billing in both languages. - Software Ecosystem Fluency: Mastery of EagleSoft EMR (charting, scheduling, patient accounts) and the Weave communications/phone platform. - Agile Mindset: Proven ability to thrive in a high-volume, multi-provider dental environment where schedules and clinical teams shift daily.

Role Description The Senior Travel Consultant, ERM is responsible for accurately and efficiently handling incoming requests via multiple channels (i.e. phone, email, etc.) and handling additional duties as assigned within a global, multi-regional setup.
