Junior Marketing Operations Coordinator

GR8 Tech

• Supervise and manage all payments within the Events and Marketing departments using 1C. • Ensure accuracy and timeliness in processing invoices and expenses. • Maintain control over payment execution throughout approval stages. • Collaborate closely with treasury and budget control departments to ensure seamless financial operations. • Manage document flow related to billing for organized record-keeping. • Manage and update a spreadsheet to track the status of payments; provide regular updates on payment statuses to the team members. • Coordinate with contractors, event organizers, agencies and other external parties for new agreements and contract signings. • Facilitate effective communication between internal legal and compliance departments, including through Jira, for smooth contract signings with external parties. • Establish and maintain a document database for contracts and agreements; remind team members of upcoming deadlines and timelines associated with contracts and agreements. • Collection of necessary KYC documents from external parties. • Maintain the timeline for budget planning and corrections; send reminders to department management about important deadlines related to budget planning. • Prepare financial reports detailing departmental expenses. • Assist in making quarterly budget corrections and participate in budget planning processes. • Upload relevant financial data into 1C for effective budget management. • Utilize 1C for financial management and reporting. • Work proficiently in Excel for data analysis and tracking.

Job Requirements

  • Relevant experience in billing, financial management, or a similar role.
  • Excellent written and verbal communication skills are essential for effectively liaising with vendors, contractors, and team members.
  • Proficiency in 1C and advanced Excel skills.
  • Strong understanding of financial processes, compliance, and budgeting.
  • Excellent communication and interpersonal skills for effective collaboration.
  • Detail-oriented approach with a focus on accuracy and problem-solving.
  • Ability to manage multiple tasks and prioritize effectively.
  • English proficiency at B2 level.
