Administrative Assistant

• Manage filtering email communications, complex calendar scheduling and meeting coordination for the COO. • Capture and distribute meeting notes, action items, and follow-ups. • Create and polish slide presentations and supporting materials for meetings and internal communications. • Prepare and submit expense reports accurately and in a timely manner. • Coordinate domestic and international travel, including flights, lodging, itineraries, and logistics. • Develop and maintain internal documentation such as: • Standard Operating Procedures (SOPs) • Training materials and onboarding guides • Process documentation and internal knowledge resources • Help ensure consistency and organization across shared documentation systems. • Serve as a liaison for local employees, contractors, and vendors. • Provide backup support for Facilities and Office Management, including: • Vendor coordination • Office logistics and day-to-day needs • Supporting a positive workplace experience • Provide backup support for HR, including local onboarding logistics for new hires.
Job Requirements
- 3+ years of experience in administrative, executive assistant, or office coordination roles.
- Strong organizational and time-management skills with exceptional attention to detail.
- Excellent written and verbal communication skills.
- Experience managing calendars, travel logistics, and expense reporting.
- Proficiency with productivity tools (Google Workspace or Microsoft 365, presentation tools, and document management systems).
- Ability to multitask and adapt in a fast-moving, startup environment.
- A proactive mindset and strong sense of ownership.
- Nice to Have:
- Experience supporting executives or senior leadership.
- Exposure to HR, facilities, or office management coordination.
- Experience documenting processes or building internal knowledge bases.
- Comfort working with international teams.

POSITION SUMMARY The Administrative Associate for Learning & Community Engagement (LCE) provides administrative, project management, and strategy support to the foundation’s Learning & Community Engagement team. This position reports to the Vice President of Learning & Community Engagement and supports projects and special initiatives led by the Vice President and Director of Leadership & Capacity Building. The ideal candidate is skilled at managing multiple, complex projects and thrives in a fast-paced, start-up environment. They bring a strong commitment to equity and justice, value collaborative teamwork, and demonstrate the ability to build authentic, accountable relationships with communities across Washington. Success in this role requires excellent organizational skills, the ability to manage complex schedules, strong attention to detail, clear communication, and proven experience in project management and event planning, along with the ability to remain calm under pressure.
