• Conduct regular audits of internal workflows to ensure adherence to client Service Level Agreements (SLAs) and internal protocols • Receive, investigate, and document all incoming complaints, operational incidents, and compliance breaches • Monitor legal items and regulatory updates, ensuring the QA department and broader production teams are informed of changes that impact day-to-day operations • Extract and analyze monthly audit reports to measure department performance • Collaborate with the production teams to refine standard operating procedures (SOPs) based on audit findings to minimize future risks
Job Requirements
- High School Diploma, GED or equivalent experience
- 2+ years of experience in an Administrative role in repossession or financial institutions
- Legal authorization to work in the U.S. indefinitely is required

POSITION SUMMARY The Administrative Associate for Learning & Community Engagement (LCE) provides administrative, project management, and strategy support to the foundation’s Learning & Community Engagement team. This position reports to the Vice President of Learning & Community Engagement and supports projects and special initiatives led by the Vice President and Director of Leadership & Capacity Building. The ideal candidate is skilled at managing multiple, complex projects and thrives in a fast-paced, start-up environment. They bring a strong commitment to equity and justice, value collaborative teamwork, and demonstrate the ability to build authentic, accountable relationships with communities across Washington. Success in this role requires excellent organizational skills, the ability to manage complex schedules, strong attention to detail, clear communication, and proven experience in project management and event planning, along with the ability to remain calm under pressure. PRIMARY RESPONSIBILITIES Support the Vice President of LCE with executive-level administrative tasks. - Manage the Vice President of LCE’s calendar, juggling competing priorities as necessary. Schedule virtual and in-person internal and external meetings, including booking venues and preparing relevant materials. MISSION OF THE ROLE The Administrative Assistant will deliver the ProfitCoach Experience (own the outcome, ease of doing business, extraordinary experience) by providing detailed, timely, and efficient administrative support to both ongoing operations and special projects. 90 Day Outcomes - Ownership of Inbox Management: Assume full responsibility for assigned inboxes and proactive calendar management for executives and general support accounts, with consistent ADEPT communication. - Ownership of Client Lifecycle Support: Independently, proactively, and consistently follow through with key events in the client lifecycle with minimum supervision needed. - Software Comfortability: Demonstrate a quick learning trajectory on the various softwares used at ProfitCoach and an ability to use those softwares to support multiple operations. - Event Coordination and Logistics: Own the execution of internal and external event logistics, including coordinating travel arrangements, managing registrations, and ensuring clear, timely communication with all team members involved. Key Responsibilities - Inbox and Calendar Management: Manage multiple inboxes and calendars with consistent attention to detail, efficiency, problem solving, and ADEPT communication. - Organization and Communication: Interact with multiple departments to track and improve organization of data and files throughout the company. - Client Lifecycle Support: Follow existing processes and suggest improvements to ensure that client experience is clear and consistent for all new and existing clients. - Event Coordination: Provide support to execute the logistical details of planned team and sales events, including booking flights and reservations. - Occasional Marketing Support: Provide support to the sales & marketing teams with sending marketing campaigns and the mechanics of follow-up procedures. - Special Project & Ad Hoc Support: Provide efficient support for occasional research and data entry projects throughout the company.
