Role Description Looking for Philippines-based candidates. Job Role: Admin Assistant Compensation range: $1,200 AUD - $1,500 AUD / Monthly Engagement type: Independent Contractor Agreement Work Schedule: This role is expected to align with the AU business hours (approx. 9 AM - 5 PM, Monday to Friday) for collaboration, but as a contractor, you’ll have flexibility in how you manage your time. Role Overview: Will play a critical role in supporting the day-to-day operations by helping manage administrative workflows, project coordination, and system data management. Working closely with the Operations Manager, the role will assist in maintaining smooth communication flow through the business by monitoring inboxes, coordinating project information, and supporting the accurate processing of job variations, scopes, and documentation. A major focus of the position will be assisting with the company’s transition from SimPro to WonderBuild, including the transfer and organisation of historical quotes, live project data, and job records into the new platform. This role requires strong attention to detail, the ability to manage high volumes of information, and a proactive approach to supporting operational efficiency across multiple projects and teams. Key Responsibilities - Assist with day-to-day administrative and operational support for the business - Help manage and organise incoming emails and workflow requests - Support project coordination by updating job information, scopes, variations, and documentation - Ensure project details align with approved contracts and client requirements - Assist with maintaining accurate records within SimPro and WonderBuild systems - Support onsite teams through accurate administrative coordination and communication - Lead and assist with the migration of quotes, project data, and job records from SimPro to WonderBuild - Organise and transfer historical project information, including older quotes and incomplete records - Maintain accurate data entry and documentation standards across all systems - Identify administrative inefficiencies and support workflow improvements where possible Qualifications - Previous experience in an administrative or operations support role - Strong organisational and time management skills - High attention to detail and accuracy in data entry and documentation - Ability to manage multiple tasks and prioritise effectively - Confident communication and coordination skills - Experience using project management, CRM, or job management systems preferred - Experience with SimPro, WonderBuild, or similar systems is highly regarded Work Arrangement & Expectations This is a remote role that will be set up as an independent contractor engagement.
