• Providing cross-coverage administrative support to all areas within the Patient Support Program including processing safety data, fulfillments/reviews, internal/external communications, field staff support, reports (daily, weekly, monthly etc.), data clean-up, meetings, maintenance of filing system, and general office/administrative duties as well. • Ensuring complete and high-quality data entry into our database systems. • Providing effective and timely management of inbound faxes and email communication. • Executing other ad-hoc administrative duties, as they are assigned. • Process data entry activities of pertinent information received at different points of contact during the delivery of Program services. • Engage in and manage email, phone, and fax correspondence. • Handle incoming and outgoing mail. • Prepare and send out Program letters and materials and work collaboratively with the team to complete a variety of administrative duties. • Order office supplies and maintain inventory. • Report Adverse Events/Severe Adverse Events (AE/SAEs) following approved SOP’s. • Complete all relevant reports (time sheets, expenses, mileage, validate CRM reports, etc.) as per specified timelines and as per required standards. • Maintain program data accuracy through review of program documentation for completeness and consistency. • Other duties as assigned by your manager
Job Requirements
- Grade 12 education combined with 2 years of community college, secretarial and/or equivalent work-related experience providing office administration services
- Bilingualism (English and French) is preferred
- Experience working with Patient Support Programs is an asset
- Hospital and/or oncology experience is preferred
- Excellent verbal and written communication, listening, and customer service skills
- Accurately inputting information into various paper and electronic forms
- Ability to learn quickly, adapt, and multi-task in a fast-paced and changing environment
- High level of proficiency with Information Technology as well as computer and software skills: Microsoft Office suite of applications, phone systems and databases
- Typing skills and ability to be a strong functional user of various computer-based programs
- Strong organizational skills with the ability to cope with changing priorities
- Self-directed individual who can work independently with minimal supervision
- Adheres to confidentiality policy when handling and managing patient data and information
- Proactive, dynamic and demonstrates an ability to work in a team environment and collaborate with others in assisting with the delivery of administration services

Role Description The employee will serve as a Social Services Assistant, located in the Clinical Operations Department, Veteran's Crisis Line (VCL), Veteran's Affair (VA). The VCL is a 24-hour, 7-days-a-week, 365-days-a-year service aimed at connecting callers worldwide to a caring, qualified Veterans Administration employee. The VCL's mission is to provide 24/7, world-class suicide prevention and crisis intervention services to Veterans, Service Members and their family members. Responsibilities - Communicates directly with emergency service providers, telecommunication companies, and others, directly negotiating assistance for Veterans by relaying pertinent facts and important circumstances. - Collaborates with the responder to get information on Veteran identity and location to initiate the rescue. - Advocates with emergency responders for the delivery of the appropriate level of emergency intervention. - Acts as the sole point of contact for VA Suicide Prevention Officers (SPCs), community law enforcement, local emergency dispatch, hospital emergency room personnel, and telecommunication companies. - Relays real-time information from the responder to emergency dispatch, law enforcement, and emergency medical personnel. - Provides updates to the supervisory team as needed on progress of ongoing rescues. - Makes outbound calls to 911 dispatchers, emergency medical providers, and VAMCs to ensure that the Veteran was located, transported, or otherwise is receiving treatment as expected. - Contacts community medical centers and VAMCs to verify that Veterans arrived at the facility based upon the agreed upon Facility Transport Plan. - Notifies the supervisor if the Facility Transport Plan fails and initiates rescue as needed. - Documents all contact attempts and escalates urgent or emergent contacts to the Supervisor. - Utilizes multiple software programs and Internet search engines concurrently along with critical, creative thinking to locate imminently suicidal Veterans. - Multitasks in high risk, high stress situations to expedite Veteran rescues. - Locates Veterans using various internet resources as well as VA databases. - Receives inbound call center administrative calls and/or calls from SPCs and responds to any questions. - Relays information from local law enforcement and dispatch to VCL leadership. - Performs other duties as assigned. Work Schedule - Varied work schedule to include evenings, nights, weekends and holidays to provide 24/7 call center coverage. - Tour will be determined after final selections and will be based on seniority. - Tour is subject to change based on program needs. - Selectees will be expected to work all shifts. Remote - This is a remote position. Selectees will work 100% of the time in a non-VA-owned space outside of the local commuting area of a parent station. - The employee's workspace must be suitable for conducting business. - Remote employees are expected to provide a secure, distraction-free home-based worksite with reliable high-speed internet connectivity. - The employee will be required to travel to the closest VA Medical Center or VA Outpatient Clinic for issuance of equipment and technical support. - Selectees will be required to self-certify that their remote workplace meets all safety, privacy, and internet speed requirements.
