Job Description

Executive Assistant, Finance Experience

• Serve as a trusted Executive Assistant supporting leadership with day to day administrative, operational and finance related activities. • Manage complex calendars, schedule meetings, coordinate appointments and handle executive communications in a fast paced remote environment. • Assist with finance related tasks including expense tracking, invoice management, budgeting support, financial reporting coordination and record keeping. • Coordinate meetings and communications with internal teams, external partners and stakeholders while maintaining organized workflows and documentation. • Support project coordination, task tracking and follow up on key initiatives to ensure deadlines and priorities are met. • Conduct research, prepare reports, meeting summaries and presentations to support executive decision making. • Utilize tools such as ChatGPT, Claude AI and other productivity platforms to improve efficiency and streamline administrative processes. • Maintain accurate records, organize business documents and ensure confidential information is handled with discretion. • Assist with process improvements, workflow optimization and operational support across various business functions. • Monitor action items, manage priorities and provide proactive support to help executives stay organized and focused on strategic objectives. • Support travel planning, event coordination and other executive assistance responsibilities as needed. • Adapt to changing priorities and work independently while maintaining a high level of professionalism, accountability and attention to detail.

Job Requirements

  • Proven experience supporting executives, founders or leadership teams as an Executive Assistant, Executive Partner or similar administrative support role.
  • Experience managing calendars, scheduling meetings, coordinating travel and handling executive communications in a fast paced environment.
  • Finance experience including expense tracking, invoice management, budgeting support, financial reporting assistance or bookkeeping support.
  • Familiarity with accounting software and financial tools such as QuickBooks, Xero or similar platforms is preferred.
  • Strong organizational and project coordination skills with the ability to manage multiple priorities and deadlines simultaneously.
  • Excellent written and verbal communication skills with strong attention to detail.
  • Comfortable working with technology and AI productivity tools such as ChatGPT, Claude AI and other workflow automation platforms.
  • Experience using collaboration and productivity tools such as Google Workspace, Slack, Notion and project management systems.
  • Ability to maintain confidentiality and handle sensitive business and financial information with professionalism and discretion.
  • Strong problem solving skills with the ability to work independently and proactively identify solutions.
  • Experience supporting remote teams and coordinating with stakeholders across different time zones is preferred.
  • Ability to adapt quickly in a startup or fast changing environment while maintaining a high level of accuracy and accountability.
  • Familiarity with fintech, AI, Web3, crypto or emerging technology industries is a plus but not required.
