The Director of Prospect Management at Duke Health Development and Alumni Affairs (DHDAA) reports to the Executive Director of Prospect Development. The individual is responsible for ensuring that prospect management best practices for grateful patient and alumni prospects are communicated and supported throughout the organization. They utilize sophisticated modeling and leverage patient and alumni data to proactively build and curate the prospect pipeline—at all giving levels—and help guide our proactive prospect identification efforts at DHDAA. The Director and their team member(s) are part of the overall Prospect Development team, which provides data insights by analyzing and disseminating information to direct and inform solicitation and engagement strategies for prospective donors to Duke Health. This role is highly collaborative and interfaces with staff throughout DHDAA and Duke Alumni Engagement and Development (DAED). Work Arrangement – Hybrid - This position is full-time, located in Durham, NC. This is not a remote position. DEPARTMENT SKILLS/PREFERENCES - Proven knowledge of prospect management and fundraising best practices. - Knowledge of effective fundraising practices, preferably at a large, de-centralized academic healthcare system with grateful patients. - Familiarity with Customer Relationship Management (CRM) platforms with Salesforce experience being desirable. - Advanced Excel and data visualization (Tableau, Power BI) experience. - Demonstrated track record of strategic and creative approaches to prospect management and collaboration with frontline fundraisers, system administrators, and senior level management. - Demonstrated experience with change management. - Excellent written and oral communication skills with the ability to synthesize and accurately present relevant information. Work Preformed Prospect Management (50%) - Support and measure the efforts of a robust and sustainable pipeline including evaluating: if the appropriate prospects are being managed, if assigned prospects are being engaged, and if we are moving prospects forward at a reasonable pace. - Oversee and maintain the DHDAA prospect clearance and assignment process. Uphold standards and data integrity to ensure a coordinated and strategic approach to prospect outreach. - Maintain comprehensive guidelines specific to DHDAA for patient prospects and the Salesforce CRM that provide organization-wide transparency, consistency, coordination, and collaboration of fundraiser engagement activities. - Design and implement prospect management standards, policies and procedures, as needed, specific to DHDAA. - Develop and implement training regarding Prospect Management processes and procedures. - Facilitate prospect strategy meetings providing data to influence or shape successful strategy, next steps, and outcomes. - Credibly lead conversations on all aspects of Prospect Management including portfolio optimization, system training, and process change management. - Lead conversations regarding size, balance, value, and yield to measure portfolio and pool performance. Assist with portfolio management across fundraising teams using existing resources and best practices. Plan and lead portfolio management/moves management, strategy, and optimization meetings with fundraisers. - Implement industry best practices for the comprehensive monitoring and tracking of managed and engaged prospects through the solicitation cycle. - Identify opportunities for changes to organizational relationship management policy or pipeline performance metrics that support an integrated approach to prospect management. - Utilize organizational knowledge and constituency data, including prospect segmentation tools, to explain and make recommendations for activity, strategy, and assignment. - Adapt and customize prospect strategy management, tracking, and reporting for various prospect segments (annual gift prospects, major gift prospects, and principal gift prospects). - Identify and implement best practices for distributing information to a complex network of interested parties. - Participate in cross-departmental projects to improve understanding and strategic use of Prospect Development tools and data. Strategic Planning & Leadership (30%) - Collaborate and strengthen partnerships between DAED Prospect Development and DHDAA Prospect Development. - Identify and build mutually respectful relationships with stakeholders that result in community standard socialization, partnership, and best outcomes. - Identify community needs, appropriate measures, and implementation plans that increase fundraising success and identify opportunities for improvement. Listen, translate, and act on recommendations from leadership. - Guide the development of new fundraiser portfolios/pipelines and provide ongoing support. - Provide regular updates to leadership on portfolio and pipeline activity and partner with leadership to encourage best practices. Management (20%) - Create monthly and annual reports/visualizations on metrics and workload of the prospect management team for development leadership. - Provide analysis on metrics and workload trends. - Manage on-going proactive and reactive projects for staff. - Build productive partnerships with the Director of Prospect Research and the Information Management and Business Intelligence team. - Collaborate on shared organizational efforts related to the identification and management of prospects, and accountability mechanisms for staff. - Responsible for effective staff management of direct reports via direct instruction and coaching sessions. - This includes hiring and orientation, workflow and performance management, and the promotion of an inclusive and innovative work environment. - Encourage high-performance to achieve team goals, including recognition of effective work output, and fostering professional development and training. This is a hands-on, product management role, ideal for someone with deep product management experience in Laboratory Information Management Systems (LIMS) and the life sciences industry who thrives on solving complex problems, driving innovation, and delivering measurable value. What You'll Be Doing Commercial & Financial Leadership - Partner with the CPO to define and execute strategic and commercial plans to drive recurring revenue growth, margin expansion, and profitability. - Build rigorous, data‑driven business cases with clear cost, revenue, margin, and time‑to‑profitability projections. - Develop and maintain deep understanding of cost drivers, revenue levers, and unit economics to support financially grounded decision‑making and scenario modeling. - Partner with Finance and Commercial leadership to validate assumptions, define success metrics, and ensure product choices improve near‑ and long‑term EBITDA. Product & Portfolio Strategy - Translate corporate and product strategy into actionable plans for Matrix-Gemini, spanning roadmap prioritization, lifecycle management, and investment allocation. - Set and govern prioritization of features and initiatives based on business needs, stakeholder input, regulatory drivers, and technical dependencies, ensuring the team's backlog reflects the highest‑value work. - Facilitate alignment between product vision and technical implementation, ensuring that roadmaps are realistic, achievable, and resourced appropriately. - Oversee the translation of strategic product priorities into clearly defined requirements, ensuring engineering teams have the context, acceptance criteria, and technical, regulatory, and risk considerations needed to execute, and that delivery aligns with the product vision. - Monitor product and portfolio performance, recommending course corrections when financial or commercial outcomes deviate from plan. Market, Customer, & Competitive Insight - Serve as the subject matter expert on Autoscribe Matrix-Gemini and the broader LIMS market serving Instem's customer base. - Interpret the needs of the market for the product, track industry and regulatory trends, and identify cost‑effective, user‑friendly approaches to meeting those requirements. - Engage with key customers, partners, and complementary solution providers to strengthen value propositions and improve commercial success. - Gather, analyze, and communicate competitive and market intelligence to support strategic decisions for the Matrix-Gemini portfolio. Cross Functional Alignment & GTM Enablement - Work closely with Sales, Marketing, Development, Delivery, and Operations teams to ensure aligned execution, consistent value messaging, and commercial readiness for Matrix-Gemini. - Collaborate with both internal and external stakeholders to gather feedback, clarify requirements, and ensure that product features meet business goals. - Work closely with operations and customer‑facing teams to ensure smooth product rollout, monitor user feedback, and ensure post‑launch issues are addressed. - Support go‑to‑market activities, including positioning, sales enablement, and stakeholder alignment across revenue‑facing teams. Performance Monitoring & Reporting - Provide regular reporting on Matrix-Gemini product performance, financial outcomes, market trends, and competitive position. - Monitor recurring revenue, profitability, and market traction to identify and proactively communicate emerging risks or opportunities. Compliance & Quality. - Ensure adherence to the company's Quality Management System, maintaining secure, professional, and compliant work practices. What We're Looking For - Several years of product management experience in software products. - Bachelor's degree in the life sciences, advanced degree preferred. Market, Customer & Domain Insight - Strong knowledge of Laboratory Information Management Systems (LIMS) and the life sciences industry. Experience with Matrix-Gemini or comparable LIMS solutions is highly desirable. - Deep understanding of the LIMS market landscape, buyer dynamics, laboratory workflows, and user needs, translating insight into commercially sound decisions. - Act as a subject matter expert in product strategy, customer engagement, and industry thought leadership for the Matrix-Gemini product family. Modern Product Management Expertise - Demonstrated expertise in modern product management practices, including business case development, outcome driven roadmapping, value proposition design, and prioritization frameworks. - Strong understanding of the full development lifecycle, ensuring decisions balance customer needs, technical constraints, and commercial impact. - Proven track record in a software product business, with direct contribution to the development, launch, or scaling of at least one successful commercial product. Influence, Leadership & Cross Functional Alignment - Strong ability to influence across the organization, including Sales, Marketing, Engineering, Delivery, Operations, and Finance, to drive alignment and execute against commercial goals. - Demonstrated ability to lead cross-functional teams toward clear, measurable outcomes - Strong interpersonal and communication skills with the credibility and presence to engage executive stakeholders, customers, and external partners.
