The Manager, Executive Assistant (EA) Support, is responsible for managing the local Executive Assistant (EA) team in the New York office. This includes monitoring team coverage and workload, recruiting, onboarding and training new team members, managing performance, and making recommendations on salary, annual performance bonuses and promotion opportunities. The Manager, EA Support also oversees the daily management of invoicing and billing for the NY office. This position functions as a “working manager” and is expected to cover some executive assistant duties as needed. Participates in orientation for new hires in the NY office as it relates to their understanding of the EA role and how the EA operates generally within the firm. - Responsible for the development, update, and maintenance of training modules, guides and portal community documents for the administrative team. - Proactively manage the EA team’s technical proficiency and professional output by leading firm-wide initiatives to standardize document management and visual protocols; responsible for auditing and enforcing these standards to ensure NY remains a center of operational excellence. - Assist with the development of budgets for administrative team training and retreats. - On occasion and as needed, the Manager, Executive Assistant Support may also cover some of the day-to-day EA duties including monthly billing duties, conflict checks, generating engagement letters, processing expense reports, and correspondence. What You'll Need to Be Successful: - Minimum 8+ years of relevant legal administrative assistant experience in a law firm or professional services environment; including a minimum of 3 years’ experience directly managing or supervising staff. - Experience with managing the invoice/billing process, assisting with conflict checks and generating engagement letters. - Advanced knowledge of Microsoft Office suite programs (Word, Excel, Outlook, PowerPoint, etc.). - Demonstrated ability to manage people and teams. - Experience developing, implementing and leading training for a variety of staff and teams. - Strong organizational and time management skills and excellent attention to detail. - Excellent written and oral communication skills. - Discretion with sensitive and confidential information is required. - Excellent interpersonal, diplomacy and conflict management/resolution skills. - Bachelor’s degree preferred.
