Accounting Associate
Conference Catalysts
• Reconcile company and employee credit card transactions and ensure accurate tracking of budgets. • Perform monthly bank account reconciliations and investigate discrepancies. • Maintain and continuously validate the accuracy of financial records across internal accounting systems. • Assist with periodic internal financial audits in coordination with the CEO. • Monitor financial workflows and identify discrepancies, inefficiencies, or process improvements. • Prepare and issue client invoices for Conference Management, Operations Management, and Digital Solutions services. • Monitor incoming payments and ensure accurate tracking of accounts receivable. • Respond to client billing inquiries and coordinate with internal stakeholders to resolve discrepancies. • Monitor outstanding invoices, proactively follow up on payment status, and support timely collection of receivables. • Maintain clear documentation of billing workflows and client financial records. • Coordinate employee expense reimbursement cycles, communicate timelines, and ensure compliance with internal policies. • Review and validate submitted expense reports for completeness and accuracy. • Recommend improvements to expense management processes and documentation. • Process vendor payments and other financial disbursements via check, credit card, or electronic transfer. • Maintain accurate documentation and tracking of payment requests, ensuring transparency and audit readiness. • Collaborate with internal business units to ensure financial data and billing processes align with client contracts and operational workflows. • Support audit review of final conference budgets prior to financial close. • Support the preparation of client financial reports when requested. • Serve as a financial administrative liaison for clients regarding accounts payable and receivable matters.
Job Requirements
- Bachelor’s degree in accounting, finance, business administration, or related field. Or relevant combination of education and experience.
- 3+ years of experience in accounting or bookkeeping.
- Advanced proficiency using Microsoft Excel.
- Proficiency using accounting software, such as QuickBooks online, QuickBooks desktop, Xero, Sage, etc.
- Strong organizational skills with the ability to manage multiple financial workflows simultaneously and operate with minimal supervision.
- Ability to handle sensitive information with the highest degree of confidentiality.
- Demonstrated ability to identify inefficiencies and recommend process improvements.
- Strong customer service orientation and written communication skills for supporting internal team members and external clients.

This role will cover a variety of tasks and accounting functions including: - Cash reconciliations - Expense allocations - Consolidation - Assistance with technical matters - Prepaid and fixed asset accounting Position Responsibilities - Manages the parent Crete PA Holdco entity monthly including the master bank account reconciliation with sweep/ZBA functionality, fixed asset and prepaid accounting, and P&L review. - Owns and improves corporate expense allocations, including allocation methodology, supporting schedules, and monthly true-ups. - Manages cash activity in a cash sweep / ZBA environment across a large number of subsidiaries, including intercompany funding and reconciliations as needed. - Assists with Payroll GL entries from UKG system. - Performs payroll cost analysis, reporting, and variance explanations to support close and business partners. - Manages the insurance expense allocation process monthly. - Assists the Director of Technical Accounting with the monthly debt and interest entries. - Manages the consolidated deferred seller note schedule and responsible for monthly interest entries. - Manages the consolidated earnout schedule and responsible for monthly interest entries. - Assists in managing the monthly consolidation workbook and assists the Director of Technical accounting with intercompany eliminations. - Assists in managing the monthly firm level and consolidated cash flow model. - Prepare and review certain recurring and non-recurring monthly journal entries. - Identify areas for streamlining and implementing best practices for fast-paced growth. - Assist with ad hoc projects as requested by the accounting team.
