Talent Operations Coordinator

• Coordinate and schedule both on-site and virtual interviews in partnership with recruiters, hiring managers, and candidates • Own candidate logistics end-to-end: confirm interview details, send calendar invites, prepare briefing materials, and manage day-of coordination (room bookings, virtual links) • Communicate proactively with candidates to ensure a warm, professional experience at every stage • Track and follow up on interview feedback, escalating when needed to keep pipelines moving • Maintain and update the Ashby ATS: ensure candidate records are accurate and pipelines are clean and up to date • Build and manage job postings, ensuring role details are current and accurate • Own ATS configuration: stages, email templates, tags, and automation workflows • Pull recruiting reports and pipeline summaries for visibility into hiring progress • Maintain a request log for recurring and ad hoc reporting needs • Coordinate all pre-boarding and onboarding logistics for Philippine hires: document collection, statutory compliance (SSS, PhilHealth, Pag-IBIG), and BIR requirements • Prepare and manage onboarding documentation: employment contracts, NDAs, and other required paperwork • Procure, configure, and ship equipment prior to Day 1 • Facilitate first-day experience: welcome communications, system access coordination, and orientation scheduling • Maintain onboarding checklists and continuously improve processes • Manage end-to-end offboarding process: exit documentation, equipment retrieval, system access revocation, and final pay coordination • Ensure compliance with Philippine labor laws: Certificate of Employment and government-mandated clearances • Coordinate or conduct exit interviews and surface insights to the People team • Maintain organized records of all completed offboarding cases • Maintain organized talent documentation (Notion, Google Drive, etc.) • Support recruiters with candidate data management, scoring sheets, and spreadsheet upkeep • Monitor shared talent inboxes and ensure timely follow-through • Identify process gaps and recommend efficiency improvements • Support broader People team initiatives as needed

Job Requirements

  • Bachelor’s degree in Psychology, Human Resources, Business Administration, or related field
  • Based in Metro Manila or nearby provinces (Laguna, Rizal, Cavite, Bulacan)
  • 3 years of experience in talent coordination, HR operations, or recruiting support, with exposure to end-to-end hiring and onboarding processes
  • Registered with the BIR as an independent contractor
  • Detail-oriented with high accuracy
  • Strong organizational and multitasking skills
  • Clear and professional communication skills
  • Self-directed and comfortable in a remote setup
  • Proficient in Google Suite
  • Experience with Ashby or another ATS (preferred)
  • Familiarity with HR processes and Philippine compliance (advantage)
  • Comfortable working with and presenting data
  • Reliable personal computer or laptop
  • Stable internet connection for remote work and virtual meetings

What you’ll be doing - Lead, coach, and manage a team of managers and associates specializing in private credit fund operations. - Oversee accurate and timely processing of trades by coordinating with various stakeholders – agents, custodians, clients, and internal parties. - Own the full investment lifecycle management function across all private credit strategies and instrument types, ensuring all economic events are captured completely and accurately on a timely basis. - Manage trade processing and settlement workflows using platforms such as Paxus, Allvue, WSO, and other proprietary systems while resolving discrepancies. - Ensure team performs daily cash, position, and asset reconciliation for timely required closings. - Maintain and oversee the accuracy of the securities master, including instrument setup, reference data integrity, and corporate action workflows across loan and credit instruments. - Frequent communication with clients to ensure SLA and KPIs are met. - Maintain a working relationship with all client contacts, auditors, lawyers, and banking personnel. - Lead operational buildout initiatives including new fund onboarding, system implementations, and workflow automation projects.
