US Physical Therapy Clinic Coordinator

Role Description Snapscale is seeking a highly skilled Healthcare Virtual Assistant / US Clinic Coordinator to work in a remote setup, supporting day-to-day operations of a US based Physical Therapy account. This role plays a critical part in ensuring a seamless patient experience through accurate coordination, communication, and clinical administrative support. The ideal candidate must have strong experience in U.S. healthcare processes, with a mandatory background in Physical Therapy clinic accounts, and the ability to manage multiple clinical and administrative tasks efficiently in a remote environment. Key Responsibilities - Verify patient benefits and insurance coverage with accuracy and timeliness - Reactivate past patients and maintain engagement through consistent follow-ups - Handle inbound calls and assist patients with inquiries in a professional and empathetic manner - Conduct appointment confirmations, reminders, and outbound follow-ups - Schedule and reschedule patient appointments efficiently - Maintain and update patient records using EMR systems - Perform medical chart scrubbing to ensure data accuracy and completeness - Process and manage prior authorizations in accordance with payer and clinic guidelines - Handle prescription refills in compliance with clinic protocols - Audit laboratory results and follow up on missing or pending reports - Monitor and support virtual clinic workflows and coordination tasks Requirements - Minimum 6 months to 1 year of hands-on experience in a Physical Therapy clinic account (required) - Experience working with U.S.-based clinics and/or health insurance providers - Experience in EMR/EHR systems, insurance verification, patient coordination, and inbound call handling - Experience in medical chart scrubbing and prior authorization processing - Experience in refill processing, lab result auditing, and follow-up coordination - Medical billing and coding experience is an advantage - Strong written and verbal English communication skills - Highly organized, detail-oriented, and self-motivated - Must have a stable internet connection and a dedicated quiet workspace for remote work Benefits - Health Maintenance Organization (HMO) - Competitive pay - Government-mandated benefits - 13th month pay - Night differential pay - Internet allowance - Perfect attendance bonus - Yearly salary increase - Opportunities for career growth and development
