Role Description We are seeking a highly organised and proactive Personal Assistant to provide comprehensive administrative and operational support to senior leadership. This role requires exceptional attention to detail, strong communication skills, and the ability to manage multiple priorities in a dynamic, fast-paced environment. Key Responsibilities - Manage, organise and maintain correspondence, including emails and phone calls from multiple channels - Manage calendars, appointments, and scheduling across multiple time zones - Suggest, implement and execute management strategies and systems - Coordinate meetings, prepare agendas, and take accurate minutes - Handle email correspondence, prioritisation, and follow-ups - Arrange travel, accommodations, and itineraries - Prepare reports, presentations, and documentation as required - Support project coordination and assist with task tracking - Maintain confidential records and sensitive information with discretion - Liaise with internal teams, clients, and external stakeholders - Assist with personal tasks and ad hoc administrative duties Qualifications - Proven experience as a Personal Assistant, Executive Assistant, or similar role - Excellent organisational and time management skills - Strong written and verbal communication abilities - High level of professionalism and discretion - Proficiency in Microsoft Office / Google Workspace tools - Ability to multitask and work independently in a remote or hybrid setup - Strong problem-solving skills and attention to detail Preferred Qualifications - Experience supporting senior executives or consultants - Familiarity with project coordination tools (e.g., Asana, Trello, or similar) - Experience working in consulting, professional services, or fast-paced environments What Success Looks Like - Seamless coordination of executive schedules and priorities - Efficient communication flow across stakeholders - Proactive problem-solving and anticipation of needs - Reliable support that enhances leadership productivity and operational efficiency Work Arrangement & Expectations This is a remote role that will be set up as an independent contractor engagement. Field study projects focus on archaeological and historic structures in the American Southwest and create opportunities for students to participate in the documentation, assessment, and conservation of some of the nation’s most treasured cultural sites. Projects involve archival research, documentation (archaeological illustration, photography) materials analysis, condition survey, nondestructive evaluation, conservation treatment, and site management planning. Student participants will work directly with experienced conservators, archaeologists, engineers, artists, preservation craftspeople, and National Park Service staff as members of the project teams. Fieldwork will take place at Bandelier National Monument in New Mexico. Fieldwork at Bandelier National Monument will take place for a week in June and a week in July, with research, data analysis, graphic documentation preparation, and reporting taking place both before and after the fieldwork sessions Student participation will average 10-20 hours per week. Expenses for transportation to/from the field sites during field campaigns will be reimbursed. Fieldwork at Bandelier National Monuments will be daily travel to/from Albuquerque. There will be a per diem for fieldwork that involves overnight stays. Up to two student research assistants will be hired @ $15/hr. The assistant must provide their own laptop computer/tablet.
