The Position GameChanger is looking for an Executive Assistant & Workplace Coordinator to support senior leaders while serving as the front-of-house presence for our NYC headquarters. You will play a central role in keeping executive operations running smoothly while ensuring the office environment is welcoming, organized, and well-managed. You will partner closely with multiple executives to manage priorities, coordinate schedules, and support day-to-day operations. At the same time, you will act as the primary point of contact for teammates, candidates, and guests, helping create a seamless and professional in-office experience. This is a highly visible, on-site role based in New York City and you will report to our Workplace and Operations Manager. What You'll Do - Manage executive calendars and scheduling, ensuring alignment across competing priorities and resolving conflicts proactively. - Coordinate meetings and events, including logistics, materials, room bookings, and onsite or virtual setup. - Partner across teams to plan and execute executive events, office-wide programming, and other initiatives, ensuring smooth coordination and a high-quality experience. - Prepare and organize presentations, agendas, and briefing materials, and track follow-ups on key action items. - Serve as the front desk lead, greeting guests, candidates, and vendors while managing office flow and ensuring a polished reception experience. - Support office operations, including meeting room coordination, supplies, onboarding logistics, and general workplace needs. - Assist with travel planning, expense reporting, and administrative workflows for executives. - Partner with internal teams to ensure smooth communication and coordination across departments. - Support office safety and security protocols, including visitor access, badge compliance, and coordination with building management. Who You Are - 7+ years of experience in executive support, office operations, or workplace coordination roles, with at least 3+ years supporting C-level executives. - Experience managing complex calendars and scheduling for multiple stakeholders. - Experience coordinating meetings, events, or office logistics in a fast-paced environment. - Experience supporting administrative processes such as travel, expenses, or onboarding logistics. - Experience interacting with external guests, candidates, or vendors in a professional setting. - Comfortable handling confidential information with discretion. - Experience working cross-functionally and managing multiple priorities simultaneously.
