Job Description

Functional Analyst

Zensar

Role Description Zensar Technologies is seeking a Functional Analyst with 4–5 years of hands-on experience in Regulatory Information Management to join its Healthcare & Life Sciences (HLS) practice. This is a non-configuration, business-facing role focused on translating complex regulatory workflow requirements into functional specifications, supporting Veeva Vault RIM implementations, and acting as the primary bridge between client regulatory affairs teams and technical delivery squads. The ideal candidate brings a deep understanding of regulatory submission lifecycles, dossier management, and global health authority requirements — paired with strong stakeholder management and documentation skills. Key Responsibilities - Regulatory Process Analysis & Documentation: - Conduct detailed discovery sessions with client regulatory affairs, RA operations, and IT stakeholders to elicit, validate, and document current-state and future-state processes. - Author functional specifications, BRDs, use cases, user stories, and process flow diagrams for Veeva Vault RIM modules (Submissions, Submissions Archive, Registrations, Submissions Publishing). - Maintain requirements traceability matrices (RTMs) throughout project delivery to ensure full coverage from business need to acceptance criteria. - Veeva Vault RIM Engagement: - Support end-to-end Veeva Vault RIM implementations in a functional capacity — from requirements through UAT — without direct system configuration. - Coordinate with Vault administrators and configuration teams to ensure design decisions align with documented functional requirements. - Review configured workflows, document structures, and object relationships to validate functional accuracy against approved specifications. - Facilitate walkthrough sessions and configuration reviews with client stakeholders. - Regulatory Domain Support: - Apply working knowledge of regulatory submission types (NDA, BLA, MAA, IND, IMPD, CTD/eCTD) to contextualize solution design discussions. - Understand global health authority requirements (FDA, EMA, CDSCO, PMDA) and their impact on document management, submission timelines, and registration workflows. - Map client regulatory SOPs to platform capabilities and identify gaps requiring process change or workaround solutions. - Testing & Quality Assurance: - Develop comprehensive UAT test plans, test scripts, and acceptance criteria in alignment with GxP and 21 CFR Part 11 requirements. - Lead or support UAT execution cycles, defect triage sessions, and sign-off processes with business stakeholders. - Ensure test evidence is documented in a manner suitable for audit and regulatory inspection. - Training & Change Management: - Develop role-based training materials, quick reference guides, and SOPs for end-user adoption of Veeva Vault RIM. - Facilitate training sessions for regulatory operations, submission management, and registration teams. - Support change impact assessments and contribute to change management planning alongside project managers. Qualifications - Functional knowledge of Veeva Vault RIM modules (Submissions, Registrations, Submissions Archive); no configuration required. - Understanding of eCTD structure, dossier management, submission lifecycle, global RA operations. - BRD / FSD authoring, process mapping, user story writing, RTM maintenance. - Working knowledge of 21 CFR Part 11, Annex 11, and GxP documentation principles. - Test plan development, script authoring, defect management, stakeholder sign-off. - Comfortable in client-facing roles; ability to run workshops, demos, and review sessions. - Proficient in JIRA, Confluence, MS Office Suite, Visio / Lucidchart for process flows. - Clear, structured written and verbal communication with both business and technical audiences. Preferred Qualifications - Exposure to Veeva Vault eTMF or QualityDocs in addition to RIM modules. - Familiarity with IDMP standards and their impact on regulatory data models. - Experience working in Agile/Scrum delivery environments alongside configuration and technical teams. - Knowledge of publishing tools such as Lorenz docuBridge, Extedo eCTD Manager, or similar. - Prior engagement in a CRO, CDMO, pharma IT service provider, or consulting firm context. - Life sciences domain certification (e.g., RAC, RAPS membership) is a plus.

Role Description Zensar Technologies is seeking a RIM Migration Analyst to support data migration engagements transitioning clients from legacy TrackWise environments to Veeva Vault RIM. This is a hands-on migration execution role — the mandate is profiling, mapping, reconciling, and validating the movement of regulatory data and documents, not configuring systems or writing code. Key Responsibilities - Data Profiling & Source Analysis: - Analyse TrackWise source data — document types, metadata fields, submission objects, registration records, and folder hierarchies — and document findings in structured profiling reports. - Identify data quality issues: missing metadata, duplicate records, broken relationships, inconsistent taxonomy, and legacy free-text fields requiring normalisation. - Work with client regulatory operations and IT teams to clarify source data ambiguities and obtain legacy system access for profiling exercises. - Source-to-Target Mapping: - Populate and maintain source-to-target mapping workbooks covering TrackWise entities to Veeva Vault RIM objects (Submissions, Registrations, Submission Archive, Documents). - Document transformation rules, default value logic, conditional mapping decisions, and known exceptions. - Flag mapping conflicts and gaps to the Migration Lead for resolution; track decisions and rationale in the mapping log. - Keep the mapping specification current across all migration iterations and scope changes. - Migration Execution Support: - Coordinate with technical ETL teams to ensure extraction and load parameters align with approved mapping specifications — no hands-on coding required. - Participate in migration dry runs, validate loaded data against source counts and mapping rules, and document reconciliation results. - Raise and track data exceptions, work with business and technical teams to resolve or formally accept exceptions within agreed thresholds. - Maintain migration run logs, load reports, and exception registers as project artefacts. - Validation & GxP Compliance: - Support preparation of migration validation deliverables: Data Migration Plan, Migration Test Scripts, IQ/OQ evidence packs, and Migration Closure Report. - Execute migration test scripts during OQ/PQ cycles; record evidence in a manner compliant with GxP audit trail requirements. - Assist the Migration Lead and client QA teams during validation reviews and mock audits. - Reporting & Communication: - Produce weekly migration status updates covering profiling progress, mapping completion, run results, and open issues. - Maintain issue and risk registers for the migration workstream; escalate blockers promptly to the Migration Lead. - Participate in client working sessions and contribute structured inputs on data findings and mapping decisions. Qualifications - Working knowledge of TrackWise data structures, document types, and metadata model — direct project exposure preferred. - Familiarity with Vault RIM objects and document model in a migration or functional context (not configuration). - 3–5 years in data migration roles — mapping, profiling, reconciliation, and validation in life sciences or regulated industries. - Able to independently author and maintain source-to-target mapping workbooks with transformation logic. - Understanding of validated system migration requirements; can execute test scripts and produce audit-ready evidence. - Detail-oriented; comfortable working with large data sets, spotting anomalies, and driving issues to resolution. - Clear, structured documentation habits — mapping specs, run reports, and exception logs must be inspection-ready. - Advanced Excel for mapping and reconciliation; JIRA or equivalent for issue tracking; SharePoint / Vault for artefact management. Preferred Qualifications - Direct exposure to TrackWise Digital (Sparta Systems) — familiarity with its submission, registration, and CAPA modules. - Prior involvement in a Veeva Vault RIM implementation or migration alongside a Veeva SI partner. - Awareness of eCTD structure and regulatory dossier organisation — useful context for Submissions Archive mapping decisions. - Exposure to other legacy regulatory or quality document systems: Documentum, OpenText, Pilgrim SmartSolve. - IIBA ECBA / CCBA, or equivalent business analysis certification. - Basic familiarity with IDMP data standards.
