Role Description The Network Procurement Clerk is responsible for assisting the procurement department with acquiring necessary network-related equipment, services, and solutions for the organization. This role requires attention to detail, excellent organizational skills, and knowledge of network systems, supplies, and clients. The individual in this position will work closely with vendors, internal teams, clients, and the procurement manager to ensure timely and cost-effective acquisition of products and services to meet the organization's network needs. Key Responsibilities: - Procurement Process Support: - Assist in the procurement of network-related supplies, branded packaging, and services. - Prepare and process purchase orders for network equipment and services. - Track and maintain records of purchase orders, deliveries, and receipts. - Ensure that procurement activities comply with company policies and regulations. - Review all purchase orders as part of the procurement review team. - Vendor and Supplier Management: - Liaise with network vendors and suppliers to obtain quotes, negotiate prices, and track deliveries. - Maintain a database of suppliers and contact details. - With the Director, evaluate and compare vendor proposals, ensuring cost-effective solutions. - Manage communication with vendors to resolve any issues related to orders, deliveries, or product specifications. - Work closely with building supply representatives to problem solve and find solutions. - Inventory Management: - Maintain accurate inventory records for network equipment and supplies. - Monitor inventory levels to ensure stock availability and prevent shortages. - Assist in conducting regular inventory audits and reconciling discrepancies. - Documentation and Reporting: - Maintain detailed records of network purchases, including specifications, costs, and delivery timelines. - Generate reports on procurement activities, expenses, and trends for management review. - Ensure all procurement documentation is properly filed and accessible for future reference. - Coordination with Internal Teams: - Work closely with the site leaders, support departments, and other stakeholders to understand network needs and prioritize procurement efforts. - Assist in the timely delivery and installation of network equipment. - Provide support in the resolution of any procurement-related issues affecting network performance. - Compliance and Quality Assurance: - Monitor compliance with internal procurement policies and external regulatory requirements. - Lead efforts to promote sustainability in building operations, including energy-efficient practices, waste management, and green building certifications. Qualifications - A high school diploma or equivalent is required; a degree in business, information technology, or a related field is preferred. Requirements - Previous experience in procurement, purchasing, or inventory management is required. - Proven track record of impeccable record keeping, the ability to work cross-functionally with multiple departments simultaneously. - Strong organizational and multitasking skills. - Good communication and negotiation skills. - Proficiency with procurement software and Microsoft Office Suite (especially Excel). - Ability to work well under pressure and meet deadlines. - Detail-oriented with a focus on accuracy. - Strong attention to detail and commitment to quality. - Ability to maintain confidentiality and manage sensitive procurement data.
