Role Description We are seeking a highly skilled Automation Systems Specialist to implement and deploy a centralized recruiting infrastructure from the ground up. The primary objective of this project is to integrate our Applicant Tracking System (ATS) with GoHighLevel (GHL) via Zapier to create a high-performance, automated candidate pipeline. While the strategic process mapping and communication assets (messaging sequences) are complete, we require a technical expert to execute the systems architecture, ensuring smooth data flow from initial application to interview fruition. We estimate the total technical scope of this implementation to fall within a 30–40 hour window. This timeframe accounts for the configuration of multi-step Zaps, GoHighLevel workflows, the calibration of our AI screening tools, and a dedicated phase for rigorous end-to-end testing. Our budget for this engagement is $600 – $1000 USD. Technical Objectives & Deliverables - Core Infrastructure: Build a comprehensive recruiting pipeline within GoHighLevel, mirroring our predefined stage logic. - Systems Integration: Establish a robust API or Webhook-based connection between the ATS and GHL using Zapier to ensure real-time data synchronization. - AI Screening Integration: Configure and edit our AI Phone Screening tool to ensure it triggers correctly within the workflow, captures relevant candidate data, and updates the pipeline status based on screening results. - Workflow Automation: Configure automated candidate tagging, stage-triggered notifications, and recruiter alerts to eliminate manual administrative overhead. - Engagement Engine: Deploy multi-channel (SMS/Email) nurturing sequences designed to increase candidate responsiveness. - Calendar Orchestration: Implement a sophisticated interview scheduling ecosystem integrated with Google Calendar, featuring automated reminders and "no-show" recovery protocols. - Reporting & Analytics: Develop high-level dashboards to monitor pipeline throughput, conversion metrics, and recruiter efficiency. Qualifications - Advanced Automation Expertise: Proven track record of building complex, multi-platform workflows in GoHighLevel and Zapier. - ATS Proficiency: Substantial experience managing data exports and integrations with professional-grade Applicant Tracking Systems. - Technical Logic: Advanced understanding of webhooks, API documentation, and conditional logic to build "fail-safe" automations. - Operational Excellence: Ability to translate a strategic map into a functional technical environment while identifying opportunities for systemic optimization. - Structured Success: You won’t waste time on strategy or copywriting. We provide the full process map and all messaging templates, allowing you to focus entirely on the technical build. - Clear Milestone-Based Scope: This is a well-defined, 40-hour project with a clear beginning and end. A straightforward technical execution. - Flexible Remote Work: Complete the build on your own schedule, provided we meet our weekly testing milestones. - Future Partnership: Successful completion of this build opens the door for a long-term maintenance contract or future system expansion projects.
