Client Services Associate opening - Administrative Assistant – Financial Services (Contract) Remote (Based out of Chicago – CST Hours) Monday–Friday | 8:00 AM – 5:00 PM CST $22/hour | Indefinite Contract Full Time, Temp to Hire About the Role We are seeking a detail-oriented Administrative Assistant with experience in the financial or insurance industry to support a busy financial advisor practice. This role will focus on client service, account support, and administrative coordination within sectors such as securities brokerages, investment advisory firms, banking, and insurance. Key Responsibilities Administrative Support - Manage calendars, schedule meetings, and handle incoming calls - Maintain client case files, including investment documents and account forms - Process dictations, emails, and correspondence - Perform document management tasks (scanning, eFiling, photocopying Client & Service Support - Prepare proposals and materials for client/prospect meetings - Process client service requests (address changes, banking updates, online access, etc.) - Coordinate with home office to obtain or provide account information - Prepare letters of instruction (transfers, beneficiary updates, etc.) - Track and maintain the financial advisor’s book of business - Follow up with clients on forms, missing information, and meeting scheduling - Review applications for completeness and accuracy Qualifications - Previous experience in financial services or insurance industry required - Seeking similar experience from securities brokerages, investment advisory firms, banks, and insurance companies - Familiarity with brokerages, investment firms, banking, or insurance environments - Strong attention to detail and organizational skills - Excellent communication skills (written and verbal) - Ability to manage confidential information with professionalism - Comfortable working in a fast-paced, client-focused environment Additional Requirements - Must be able to successfully complete: - Criminal background check - Fingerprinting - Credit check Why Apply? - 100% remote opportunity with a stable, long-term contract - Gain experience supporting financial professionals in a client-facing environment - Consistent weekday schedule (no weekends)
