Payroll Specialist

ICW Group

• Administers the Payroll system for all ICW Group Companies • Initiates process and sets up ICW companies as employers in new states, completing required paperwork and securing tax id • Processes payroll-related documents and responds to state disability, unemployment, and employment verification requests • Administers annual end of year and W-2 processes ensuring accurate, complete data is provided within the established legal deadlines • Prepares and processes off-cycle payrolls and manual checks as needed for new hires, terminations, bonuses, or other payments • Responds to payroll-related inquiries and resolves concerns • Maintains current working knowledge of payroll software and tax laws for all states with employees • Identifies and recommends updates to payroll processing and procedures • Ensures accurate and timely processing of payroll updates including new hires, terminations, and changes to pay rates • Implements, maintains, and reviews payroll processing systems to ensure timely and accurate processing of payroll transactions including team member timesheets, salaries, benefits, garnishments, taxes, and other deductions • Prepares and maintains accurate records and reports of payroll transactions • Ensures all team members are paid within legal time requirements and with proper calculations

Job Requirements

  • High school diploma or general education degree (GED) required
  • Associate’s degree in HR, Payroll or Accounting preferred
  • Minimum of 5 years payroll experience with at least two years working in a multi-state employer environment required
  • Demonstrated knowledge of Payroll processing and timekeeping best practices, basic Accounting principles, California and federal wage and hour law
  • Competent in the use of Microsoft Word, Microsoft Excel, and Microsoft Outlook
  • Demonstrated proficiency in using HRIS, Payroll and Timekeeping systems, preferably experience with Workday software

On the benefits side, you’re the go-to for the day-to-day support, including enrollments, answering questions, and helping employees navigate their options with clarity and confidence. What You’ll Do - Run bi-weekly payroll for 400+ employees across multiple states using ADP Workforce Now - Make sure payroll taxes, withholdings, and compliance are handled correctly at every level - Review payroll details like wages, overtime, garnishments, and deductions to keep everything accurate - Keep payroll processes up to date as regulations change - Act as our go-to ADP expert, managing employee records, pay codes, and system updates - Partner with Finance on payroll reconciliations and reporting - Support year-end payroll work, including W-2s and audits - Respond to employee questions around payroll and benefits, helping resolve issues quickly and clearly - Handle employee changes like new hires, status updates, terminations, and leave impacts on pay - Ensure benefit elections and deductions are set up and maintained accurately in ADP (medical, dental, vision, 401(k), FSA/HSA) - Participate in open enrollment including plan setup, carrier connections, employee communications and testing - Ensure compliance with local payroll regulations, stay current with emerging legislation and compliance requirements for each jurisdiction - Be a reliable resource for employees, answering benefits questions and pointing them in the right direction - Look for ways to improve processes so payroll is even more accurate and efficient - Manage payroll data integrity and maintain employee records in compliance with data protection regulations - Manage state and local reporting and filing requirements, workers' compensation reporting, payments, and annual audit - Administer ongoing 401k processes and employee-employer contribution plans, including audit-related activities Who You Are - You truly love payroll.
