Paralegal Assistant

• Provide administrative and substantive legal support to the Legal Affairs Division, including the CEO, outside counsel, and other authorized leaders. • Assist with legal document preparation, contract coordination, compliance tracking, legal file management, and litigation support across Enterprise Management and its affiliated companies. • Support U.S.-based legal workflows including document drafting, case management, client intake coordination, records requests, calendaring, and legal correspondence while maintaining organized records and efficient legal operations in a fast-paced, multi-entity remote environment. • Prepare, format, and proofread legal documents including contracts, NDAs, MOUs, amendments, pleadings, correspondence, and compliance certifications. • Assist with preliminary contract and legal document review to ensure completeness, consistency, and adherence to standard templates. • Maintain document control systems including Google Drive, Legal Dropbox, and legal case management platforms. • Organize and maintain legal files including vendor agreements, litigation records, regulatory documents, and corporate records. • Receive, categorize, and route legal correspondence, records requests, and scanned documentation for legal review. • Track contract deadlines, court dates, renewal schedules, and legal obligations using shared calendars and task management tools. • Coordinate internal reviews, signature collection processes, and document routing for legal approvals. • Schedule meetings and maintain communication logs with legal advisors, consultants, clients, and internal departments. • Assist with client intake coordination and documentation gathering processes. • Support records retrieval, document organization, and litigation support activities when required. • Assist with preparing documentation required for regulatory compliance and organizational filings.
Job Requirements
- Associate’s degree or certificate in Legal Studies, Business Administration, or a related field (Bachelor’s preferred)
- Paralegal certificate (preferred)
- Minimum 1–3 years of experience in a paralegal, legal assistant, litigation support, or legal administrative support role
- Prior experience supporting U.S.-based legal workflows, attorneys, or regulatory environments strongly preferred
- Experience with legal document preparation, case management, calendaring, client intake, records requests, or litigation support preferred
- Experience using legal case management or legal workflow software preferred
- Strong English language proficiency required
- Spanish-English bilingual ability preferred
- Ability to pass background and reference checks
