Virtual Assistant - Operations & Supply Chain Manager

We are currently looking for a motivated Virtual Assistant with expertise in operations and supply chain management to join our client's team and take their operations to the next level. In this role, you will be responsible for performing various tasks, including: - Own the purchase order flow end-to-end across retail, wholesale, and e-commerce; - Ensure orders are processed, shipped, and delivered accurately and on time; - Manage documentation including invoices, BOLs, routing guides, and labels; - Proactively resolve fulfillment issues before they impact customers; - Support new item setup across retailers and distributors; - Maintain accurate pricing, product data, and sales materials; - Track deductions, trade spend, and promotional activity; - Ensure operational readiness for new accounts and product launches; - Coordinate production runs with co-packers and suppliers; - Manage inventory across warehouses and distributors (including UNFI and KeHE); - Monitor stock levels to prevent out-of-stocks or excess inventory; - Track inbound and outbound shipments and resolve delays quickly; - Identify inefficiencies across workflows and implement improved systems; - Use AI tools to automate repetitive tasks across reporting and operations; - Build processes that improve speed, accuracy, and visibility; - Replace manual work with scalable, automated solutions wherever possible;

Job Requirements

  • 3–5+ years of experience in operations, supply chain, or logistics;
  • Experience working within the US CPG ecosystem;
  • Familiarity with distributors such as UNFI or KeHE;
  • Strong systems mindset and experience with ERPs, CRMs, and spreadsheets;
  • Experience using AI tools to improve workflows;
  • High attention to detail with the ability to move quickly;
  • Ability to work independently and take ownership;
  • Strong problem-solving skills and bias toward action;
