Executive Assistant Responsibilities: - Manage complex calendars across multiple executives, including scheduling, prioritizing meetings, and resolving conflicts. - Coordinate all meeting logistics, including room reservations, virtual meeting setup, materials preparation, and follow-ups. - Act as a liaison and gatekeeper for the executives, managing incoming requests and ensuring alignment with business priorities. - Screen calls, emails, and correspondence, responding where appropriate and escalating as needed. - Coordinate domestic and international travel arrangements, including itineraries, transportation, and accommodations. - Prepare, process, and reconcile expense reports in a timely and accurate manner. - Track and process invoices, partnering with vendors and internal departments to ensure timely payment. Executive Assistant Qualifications: - Bachelor’s degree. - Experience supporting senior-level executives required; experience supporting multiple executives is preferred. - Experience in entertainment/media or corporate environment with an understanding of protocol with talent/celebrities is preferred. - Ability to handle sensitive and confidential information with discretion. - Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). - Strong Excel skills preferred for tracking, reporting, and organization. - Experience with expense management and calendar management tools.
