Administrative Associate
INVICTA SOFTWARE
• Provide comprehensive administrative support to multiple teams. • Manage communication channels and coordinate schedules. • Ensure accurate documentation and smooth office operations. • Assist in project coordination and event planning as needed. • Manage incoming calls, emails, and correspondence professionally and promptly. • Coordinate meetings, appointments, and travel arrangements. • Maintain and organize company records, files, and databases. • Prepare reports, presentations, and documents with attention to detail. • Support onboarding processes and assist with employee communications. • Collaborate with various departments to facilitate smooth workflow. • Assist with office supply management and vendor relations. • Contribute to special projects and company events as assigned.
Job Requirements
- High school diploma or equivalent; Associate’s or Bachelor’s degree preferred.
- Proven experience in an administrative or office support role.
- Strong organizational and multitasking skills.
- Excellent written and verbal communication abilities.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Ability to work independently and as part of a team.
- Detail-oriented with a commitment to accuracy.
- Discretion and professionalism when handling confidential information.
- Experience with project management tools or CRM software preferred.
- Familiarity with the software industry or technology environment preferred.
- Basic bookkeeping or budgeting experience is a plus.
