Role Description SEEDS is seeking a thoughtful, organized, and relationship-centered operations leader to help strengthen the organization during an important period of transition and growth. The Operations and Administration Manager will oversee day-to-day operations and build the structure, systems, and follow-through needed to support SEEDS’ continued growth. This person will serve as a key operational partner to the Officer Team, helping turn priorities into action, improve coordination across committees and volunteers, and create sustainable processes that keep the organization running smoothly. The ideal candidate is highly self-directed, comfortable taking direction, calm in a dynamic environment, and skilled at building relationships, representing the organization professionally, and earning trust over time. What You Will Do - Lead day-to-day operations - Oversee core administrative and operational workflows to ensure strong execution and follow-through - Build and improve systems, processes, and documentation that support consistency, efficiency, and scalability - Maintain operational continuity across leadership transitions, committee changes, and evolving organizational priorities - Assist with budgeting, reporting, reimbursements, and spending workflows in partnership with financial leadership - Drive coordination and organizational follow-through - Serve as a central point of contact for internal and external inquiries, directing items to the appropriate leaders or groups - Keep priorities, timelines, and action items moving across teams, committees, and leadership - Prepare clear written and verbal operational updates, summaries, and recommendations for the Officer Team on progress, committee activity, risks, and upcoming priorities - Maintain records, trackers, and shared systems that improve visibility and accountability across the organization - Work closely with the Office Administrator, Volunteer Coordinator, Treasurers, committee leaders, and Officer Team to support aligned execution - Support volunteer engagement and coordination through strong communication, scheduling, and workflow tools - Represent SEEDS and exercise sound judgment - Represent SEEDS professionally at conferences, events, and other external functions as needed - Build strong relationships with stakeholders, partners, and the broader community - Operate effectively within a board-governed environment, maintaining appropriate boundaries between governance and operations - Handle sensitive information with professionalism, discretion, and integrity Qualifications - 5+ years of experience in nonprofit operations, association management, organizational administration, program operations, or a similar role - Experience building structure, improving workflows, and creating scalable systems in organizations navigating growth, change, or transition - Ability to work independently while also taking direction and adapting to evolving priorities - Strong communication and relationship-building skills, with the ability to work effectively across leadership, boards, committees, volunteers, and other stakeholders - Strong organizational skills and attention to detail across multiple projects, deadlines, and competing priorities - Comfort supporting budgeting, reimbursements, invoice tracking, and reporting workflows - Sound judgment and discretion in handling sensitive information and navigating complex stakeholder dynamics - Confidence representing our organization externally and building trusted relationships within the broader community Preferred Qualifications - Experience in this field or a closely related nonprofit or membership-based organization - Experience working with boards, committees, or volunteer-led teams - Experience representing an organization externally through conferences, events, or partnerships - Familiarity with nonprofit budgeting, reporting, and administrative operations - Experience improving processes, systems, and organizational coordination

Overview Under the direction of the VP of Operations, the Remote Senior Director of Medical Aesthetic Operations and Market Development is responsible for maximizing revenue and profitability for medical-aesthetic services (primarily non-surgical) across all practices. Through the development and implementation of key initiatives relating to Medical Aesthetic operations, including cost control, vendor relations, education & training, development of existing and new service lines, reporting & analysis, and events, this role will contribute to platform growth. The Senior Director of Medical Aesthetic Operations and Market Development will work closely with clinical vendors, Gen-derm operations leaders, and support services department heads to identify system & process needs and effectively project manage to achieve overall company goals. The Senior Director works in partnership with key stakeholders, including Physician leaders, Providers, and their Medical Aesthetic Staff, Marketing, Operations, and other support services department heads, to achieve overall company goals. The Position will have business & financial (non-clinical) oversight of all medical-aesthetics service lines, including injectables, lasers, plastics, retail, and related spa services. This role will rely heavily on strong communication, innovation, leadership, and the ability to drive results through influence to increase revenue and all profitability metrics while increasing provider satisfaction and excellence in patient outcomes. Responsibilities Essential Functions - Drive revenue growth in Medical Aesthetics and retail sectors, managing inventory costs and fostering EBITDA growth across the company and at clinic/practice levels. Develop financial budgets to optimize growth and cost management. - Assess and enhance Medical Aesthetic clinical processes, identifying areas for improvement and spearheading the implementation of improvement initiatives. - Collaborate with physician practice leaders and regional/local team leaders to craft and execute aesthetic in-office retail and e-commerce business plans. - Develop and execute strategies, best practices, and tactics to increase adoption of aesthetic products and services, aligned with short- and long-term goals. - Partner with procurement to optimize vendor agreements and relationships, securing the most favorable supply costs. Serve as the primary liaison with Forefront Dermatology's aesthetic vendor partners. - Ensure price accuracy and minimize costs by monitoring vendor rebate and incentive programs and coordinating with Legal, Compliance, Purchasing, Finance, and Operations to ensure timely, accurate payments. Manage and communicate vendor loyalty programs and promotions. - Collaborate with marketing to devise impactful in-market strategies and platforms tailored for clinic-level implementation. Work closely with the marketing department to develop branded materials for in-house marketing efforts. - Oversee the logistical and financial aspects of Medical Aesthetics event planning, management, and execution. - Lead the device business case development process, offering recommendations and advocating for optimal device purchasing and performance strategies. Use data from Forefront devices to determine their placement and usage to maximize productivity. - Provide ongoing education to all providers and relevant staff involved in Medical Aesthetics services, ensuring adherence to best practices. - Ensure that all clinics and providers deliver an exceptional patient experience for Medical Aesthetic patients, with a continual focus on reputation management and effective resolution of patient concerns. - Performs other related duties as assigned. Qualifications - Bachelor’s degree required, Master’s degree in Business, Healthcare Administration, or a related field preferred. - Minimum of 10 years’ experience with associated service lines such as medical cosmetics/ Medical Aesthetics, marketing, and/or beauty retail. - Minimum of 10 years’ experience in the physician and/or private clinic healthcare space, multi-unit, multi- region experience preferred (ideally in Dermatology, Medical Aesthetics, or similar cash-paying healthcare systems). - Minimum of 10 years’ experience operating within a cross-functional team as part of a strategic platform.
