Document Controller
ORS Consulting (ORS)
• Draft, control, manage, and maintain Health & Safety and PSDP documentation, required across multiple construction projects and operations • Support the preparation and ongoing maintenance of project documentation, including Preliminary Safety & Health Plans and Stage Reports • Support the preparation and maintenance of Team documentation to inc. Fee bids, Tenders and General Administrative requirements • Assist in the preparation, review and handover of project Safety Files requiring coordination with design teams, contractors and project PSCS • Liaise with project teams, designers, contractors, and external stakeholders regarding documentation requirements • Ensure version control, document numbering, approvals and distribution protocols are followed • Maintain document registers and ensure records are accurate, complete, and auditable • Support internal and external audits related to Health & Safety documentation • Maintain confidentiality and data integrity of all documentation in line with GDPR requirements
Job Requirements
- Proven experience in a Document Controller/ Administrative, or similar role, within Health & Safety, construction, engineering or regulated environments
- Experience in the compilation of PSDP documentation and Safety Files is highly desirable
- Strong organisational skills with excellent attention to detail
- Experience managing controlled documents and document management systems
- Good working knowledge of Microsoft Office (Word, Excel, Outlook, SharePoint or similar)
- Ability to manage multiple priorities and meet deadlines
- Strong communication and coordination skills

Job Summary - We are looking for a hands-on Controller based in Latin America to own the full accounting and financial operations function. This is a high-impact role reporting directly to the CFO. You will be responsible for the accuracy of our books across three geographies (US, Greece, Brazil),manage relationships with outsourced accounting firms, oversee month-end close and consolidations, and supervise a junior FinOps team member. - This is not a back-office role. You will be the single point of accountability for everything backward-looking in finance: if the numbers are right, it is because of you. If they are wrong, it is on you. Responsibilities - Month-End Close & Consolidations - Own the end-to-end month-end close process across all entities (US, Greece, Brazil) - Prepare and review consolidated financial statements under US GAAP - Ensure intercompany eliminations, currency translation, and reconciliations are accurate - Deliver close within established timelines with full documentation - Outsourced Firm Management - Serve as the primary point of contact for three outsourced accounting teams (US, GR,BR) - Set quality standards, review deliverables, and hold firms accountable for accuracy - Assess outsourced firm performance within first 90 days and recommend changes if needed - Manage the transition if firms need to be replaced - Financial Operations Oversight - Supervise the junior FinOps associate (payments, billing, expense review) - Establish and enforce internal controls and approval workflows - Ensure compliance with local regulations across all jurisdictions - Accuracy & Process Improvement - Act as the quality gate for all financial data before it reaches the Head of Finance - Identify and fix recurring accuracy issues in the books - Document and standardize accounting processes across geographies - Support external audit preparation and liaison Requirements - Must-Have - 5+ years of progressive accounting experience, including consolidations - Strong US GAAP knowledge (working experience, not just theoretical) - Experience managing or working closely with outsourced accounting teams - Fluent English (written and verbal). • Prepare and review account reconciliations • Prepare and review journal entries ensuring compliance with local accounting procedures and US GAAP • Drive the timely preparation of assigned journal entries driving increased efficiency • Prepare periodic balance sheet analysis • Engage with auditors to answer questions in regards to control processes and account reconciliations • Responsible for managing daily treasury operations, including cash positioning, liquidity planning, bank reconciliations, and ensuring optimal cash flow to support business needs. • Responsible for managing intercompany transactions and reconciliations, ensuring accuracy, timely settlement, and compliance with internal policies and accounting standards • Responsible for monitoring and reconciling inventory balances, ensuring accurate valuation, timely adjustments, and compliance with accounting policies and internal controls. • Oversees the Fixed Asset register and Finance Master Data to ensure proper capitalization, accurate depreciation, high quality data maintenance, and adherence to internal policies and accounting standards. • Participate in the preparation of statutory financial reports according to local GAAP standards (monthly, quarterly and annual). • Participate in the preparation and submission of monthly VAT returns, ensuring all transactions are accurately recorded and compliant with applicable tax regulations. • Responsible for managing the Month-End Closing (MEC) process, ensuring accurate and timely recording of all financial transactions.
