401(k) Plan Manager HONOLULU HI ProService is looking for a 401(k) Plan Manager who combines deep ERISA and retirement plan expertise with the leadership skills to run a high-performing team at scale. This isn't a technical-only role — it requires someone who can own compliance outcomes, hold vendors accountable, develop talent, and drive continuous improvement across a growing Multiple Employer Plan (MEP) operation. What makes this role distinct is the weight of what's at stake. You're not managing retirement administration from a distance — you're the organization's subject matter expert, the escalation owner, and the person responsible for making sure immovable regulatory deadlines are met without error, every time. You'll work at the intersection of fiduciary responsibility, client trust, and operational excellence, leading a team where the margin for error is low and the standard for quality is high. IN THIS ROLE YOU WILL - Own end-to-end delivery of ProService's MEP — including onboarding, ongoing plan administration, nondiscrimination testing, Form 5500 filings, annual audits, and year-end compliance activities - Serve as the primary internal and external authority on 401(k) plan design and ERISA compliance, owning escalations to full resolution with sound judgment and minimal client disruption - Hold retirement vendors and recordkeepers accountable to SLAs, data accuracy, and service quality standards through ongoing performance reviews and issue resolution - Lead retirement education and enrollment sessions for clients and worksite employees, partnering with Account Management to support the sales cycle and drive plan participation - Run a disciplined team operating rhythm — daily huddles, weekly scorecard reviews, monthly performance check-ins — so every team member has clear visibility into their performance against goals - Identify and drive process and system improvements each quarter that reduce error rates, improve turnaround time, or support plan growth WHAT YOU'LL BRING TO THE TEAM - Hands-on experience administering 401(k) plans end-to-end in a MEP or multi-plan environment, including nondiscrimination testing, Form 5500 filings, audit coordination, and plan document compliance - Demonstrated ability to apply ERISA regulations to day-to-day decisions and escalations without relying on outside counsel for routine matters - Proven track record of leading teams where success was measured by clear results — including managing underperformers directly, retaining top talent, and coaching individuals through performance gaps - Experience holding recordkeepers and third-party vendors accountable to SLAs, data accuracy, and service delivery standards, including leading performance reviews and driving issue resolution - A habit of tracing errors and delays to root cause and fixing the underlying system — not just addressing the immediate symptom - Ability to handle difficult conversations directly — with clients, cross-functional partners, or team members — without deferring responsibility upward - Strong organizational instincts with the ability to manage competing priorities, immovable deadlines, and a high volume of compliance deliverables without dropping the ball IS THIS ROLE RIGHT FOR YOU? We want you to walk in with clear eyes, so here's an honest look at what this role is — and what it isn't. This role carries real fiduciary weight. Compliance deadlines don't move, errors have downstream consequences for clients and plan participants, and the team looks to you to set the standard. If you thrive with ownership and accountability, you'll find this environment energizing. If you prefer to escalate rather than resolve, or to manage processes rather than lead people, this role will feel uncomfortable quickly. Worth knowing: you'll be managing vendor relationships with external partners who don't always move at the pace you need, coaching team members at varying performance levels, and balancing client-facing responsibilities alongside internal operational demands — all at the same time. The expectation is that you lead through the complexity rather than around it. WORK LOCATION We welcome applications from candidates based in Hawaii, who would work a hybrid schedule (in-office Tuesday–Thursday, option for remote Monday & Friday), as well as fully remote candidates based on the US Mainland. Remote candidates must be available during Hawaii Standard Time (HST / UTC-10) business hours, with preference given to those on the West Coast. COMPENSATION The base compensation for this position is $99,000.00 – $137,000.00 per year depending on experience and qualifications. WHY PROSERVICE ProService is a Hawaii-based PEO combining payroll, HR, and benefits expertise with purpose-built technology — all backed by the best local service in the islands. Backed by Silver Lake and recognized as one of Hawaii's Best Places to Work for 20 consecutive years, we're a team of high performers united by one mission: Empowering Employers to Succeed in Hawaii. - A PROhana unlike any other. We assume the best in each other, give feedback focused on what's right—not who's right—and show up every day. This isn't just a workplace. It's a community. - Do work that matters. You'll see exactly how your contributions move the needle—meaningful problems, real decisions, and a seat at the table. - Grow without a ceiling. Internal roles post first, and we reimburse certifications, conferences, and memberships. Your growth is our growth. - Compete, collaborate, and win together. High expectations, real accountability, and a team of experts ready to help you push through any obstacle. - Total rewards built around your whole life. Fully paid healthcare, 401(k) matching, paid parental leave, student loan assistance, employee assistance programs, and paid time off—just to name a few.
