Executive Assistant (HR & Administration)

Activate Talent

Role Description This is a part-time (10 hours/week) hybrid role combining HR coordination and light administrative support. The primary goal of this role is to bring structure and consistency to core HR processes, while providing occasional support to the CEO on scheduling and administrative tasks. Currently, HR responsibilities are handled internally by leadership, creating a need for a dedicated, detail-oriented operator to take ownership of these workflows. Responsibilities - HR Coordination (Primary focus) - Manage onboarding and offboarding processes end-to-end. - Coordinate employee benefits enrolment and related support. - Maintain accurate and organized employee records. - Monitor shared hiring inbox and route candidates to relevant stakeholders. - Ensure HR documentation and workflows are consistent and up to date. - Administrative Support (Secondary) - Schedule external meetings and calls for the CEO (3 per week). - Assist with light calendar coordination. - Support ad hoc administrative and operational tasks as needed. Qualifications - Experience as an Executive Assistant with HR exposure or a junior HR generalist. - Strong ability to manage repeatable, process-driven tasks independently. - Highly organized with excellent attention to detail. - Comfortable working remotely with minimal supervision. - Strong written and verbal English communication skills. - Experience supporting small or fast-growing teams is a plus. Team & Culture - Small, tight-knit, and collaborative team. - Fast-moving environment with high ownership and minimal bureaucracy. - Creative, design-forward brand with a strong identity.
