Sponsor Relations Coordinator – Events

WTWH Media LLC

• Support end-to-end execution and project management of sponsorship deliverables across a portfolio of 30+ events • Coordinate and execute sponsor onboarding process using timeline and actions lists • Manage Sponsor Relations email inbox to include responding to customers using internal FAQ documents and other resources • Act as Sponsor Lead and key point of contact for sponsor-related needs on-site at events • Serve as internal POC between sales, marketing, content, and event operations teams • Track sponsorship contracts and execution of deliverables through internal tracking process using cvent, salesforce and other internal systems • Coordinate floor plan assignments and manage booth/ table inventory availability • Support fulfilment of sponsor deliverables both pre-event and onsite in partnership with event operations lead • Support sponsor marketing deliverables pre-event to include sponsor logo management and signage

Job Requirements

  • College degree in hospitality, communications, or related field
  • 2 + years of relevant event, sponsorship, or client-facing experience within the events industry
  • Able to travel 10–15 times per year
  • Experience with Salesforce or other CRM systems
  • Proficiency in Microsoft Office (Excel, PowerPoint, Word) and Google Suite
  • Strong written and verbal communication skills
  • Able to manage multiple projects simultaneously and meet deadlines
  • Able to adapt quickly, think critically, and operate effectively in a fast-paced, dynamic environment

Role Description You will be responsible for managing the generation and issuance of Planned Preventative Maintenance (PPM) work orders, supporting delivery, and managing asset status and condition in our database. You will be working closely with our Engineering teams to improve report quality, asset data, and completion times. What you will be doing: - Planning Service remedial works with direct labour or sub-contractor in line with customer SLA's. - Ordering of parts, access equipment, plant & tools. - Booking-In and issuing of RAMS and Permits, where required. - Updating customers portals and planners, ensuring completion within strict SLA's including jeopardy management. - Processing all reactive paperwork from holding pots and moving completed job folders to finance team. - Liaising efficiently with Customers, Service Engineers and the wider H&K Team. - Processing of completion paperwork and workflow to finance. - Raising & processing supplier & subcontractor purchase orders. - Producing Monthly performance reports and attending client calls/supporting meetings. - Processing all PPM paperwork from holding pots and moving to finance team if required and filling in site folders. - Actioning all Customer queries and requests in a timely manner, escalating as required. Qualifications - Experience in a similar role ideally within the sprinkler industry but construction/engineering/FM industry experience will also be considered. - Strong interpersonal skills and communication skills to liaise with customers and stakeholders (essential). - Experience of raising and processing subcontractor purchase orders (essential). - Able to effectively manage time, organise and prioritise to meet demands (essential). - Strong IT skills with experience of using database/portal systems (essential). You will operate with high autonomy, managing events as your own business ventures within our brand framework and leveraging premium venues across Stellenbosch, Franschhoek, and Constantia. Based in Cape Town, you will lead the planning, execution, and promotion of high-profile events on a profit-share basis, bringing deep knowledge of the Western Cape hospitality landscape and a proven ability to drive attendance through social media and influencer partnerships.
