• Build and maintain the event management database (incl. registrations) and keep participant lists up to date • Support project managers with planning, reporting, and budgeting, particularly by maintaining structured Excel trackers and project documentation • Upload, organize, and control event documents in tools like Cvent, ensuring compliance requirements are met and properly documented • Coordinate vendors and event logistics, including travel bookings, itineraries, and required participant documentation • Handle participant communications end-to-end (invitations, confirmations, and follow-ups) • Provide onsite support during events and coordinate post-event wrap-up
Job Requirements
- Proficient in event management database, particularly Cvent
- Fluent in spoken and written English and German
- 2–5 years experience in event operations, administration, travel management or delegate management
- Experience in pharma/healthcare and/or knowledge of compliance requirements
- Strong Excel skills (e.g., trackers, reporting)
- Valid work permit for the country you are applying for
- Highly organized and detail-oriented
- Relevant experience in an event agency

Role Description You will be responsible for managing the generation and issuance of Planned Preventative Maintenance (PPM) work orders, supporting delivery, and managing asset status and condition in our database. You will be working closely with our Engineering teams to improve report quality, asset data, and completion times. What you will be doing: - Planning Service remedial works with direct labour or sub-contractor in line with customer SLA's. - Ordering of parts, access equipment, plant & tools. - Booking-In and issuing of RAMS and Permits, where required. - Updating customers portals and planners, ensuring completion within strict SLA's including jeopardy management. - Processing all reactive paperwork from holding pots and moving completed job folders to finance team. - Liaising efficiently with Customers, Service Engineers and the wider H&K Team. - Processing of completion paperwork and workflow to finance. - Raising & processing supplier & subcontractor purchase orders. - Producing Monthly performance reports and attending client calls/supporting meetings. - Processing all PPM paperwork from holding pots and moving to finance team if required and filling in site folders. - Actioning all Customer queries and requests in a timely manner, escalating as required. Qualifications - Experience in a similar role ideally within the sprinkler industry but construction/engineering/FM industry experience will also be considered. - Strong interpersonal skills and communication skills to liaise with customers and stakeholders (essential). - Experience of raising and processing subcontractor purchase orders (essential). - Able to effectively manage time, organise and prioritise to meet demands (essential). - Strong IT skills with experience of using database/portal systems (essential). This is a remote position. We are seeking an entrepreneurial Senior Event Specialist to join our network as a freelance/contract partner in a collaborative partnership, where your expertise directly drives your earnings. You will operate with high autonomy, managing events as your own business ventures within our brand framework and leveraging premium venues across Stellenbosch, Franschhoek, and Constantia. Based in Cape Town, you will lead the planning, execution, and promotion of high-profile events on a profit-share basis, bringing deep knowledge of the Western Cape hospitality landscape and a proven ability to drive attendance through social media and influencer partnerships. In return, you receive a significant percentage of net profits with earning potential based on your performance. Requirements - Bachelor's degree in Marketing, Hospitality, or related field.
