Job Description

Account Receivable Specialist

Delegate CX

• Creating and issuing invoices to customers for goods and services rendered. • Invoice all customers upon order completion, including uploading the invoice to third party platforms such as Coupa, Ariba & Vendor Cafe. • Apply payments received using remittances. • Handling customer queries via email. • Sending payment reminders for overdue invoices. • Receiving and recording customer payments through various methods, including checks, credit card payments, and electronic funds transfers. • Applying payments to customer accounts and ensuring accurate allocation. • Evaluating the creditworthiness of customers and establishing credit limits. • Monitoring overdue accounts and following up with customers to secure payments through phone calls, emails, or other communication methods. • Matching incoming payments with outstanding invoices, resolving discrepancies, and analyzing accounts receivable aging reports to track the status of outstanding balances. • Conducting ad hoc tasks aligned with those mentioned above.

Job Requirements

  • Bachelor's degree in Accounting, Finance, Business Administration, or a related field.
  • 1-3 years of Accounts Receivable and/or General Accounting experience, or equivalent.
  • Strong verbal, written, and English communication skills.
  • Ability to work overnight/graveyard shifts in Philippine time or within US operating hours.
  • Proficiency in most Microsoft Office Applications, databases, and accounting software.
  • Strong working knowledge using Excel, pivot tables, advanced formulas, etc.
  • Proficiency in using accounting software and tools, such as QuickBooks, SAP, or other relevant software.
  • Ability to build relationships with clients and internal departments.
  • Maintaining high accuracy in financial records and attention to detail in every aspect of the job.
  • Certified Public Accountant (CPA) or Certified Management Accountant (CMA) are a plus but not required.

- Regularly review the "Holds Report" on ENCOMPASS and proactively reach out to accounts with past-due balances to release orders. - Contact assigned portfolio of accounts via email, phone, or text, and provide updated statements of their account. - Schedule payment pickups as necessary. - Respond promptly to emails, phone calls, and text messages from retailers. - Coordinate with the AR team to request credit applications from retailers. - Send out Final Decision emails regarding credit requests to retailers every Friday. - Collaborate with the AR team to address and resolve any discrepancies. - Update and maintain notes on the "Payment Profile Dashboard." - Revoke payment terms for unreliable accounts, when necessary. - Work closely with Sales Representatives to ensure effective communication between retailers and Kiva, confirming payments and other relevant details. - Participate in weekly 1:1 meetings with the Collections Manager to review and discuss AR aging reports. - Set up and manage payment plans for retailers experiencing difficulty settling their balance. - Follow up on Slack whenever tagged in a specific case to ensure prompt resolution.
