Provides advanced, strategic, and highly confidential executive support within the Office of the Chief Executive Officer (OCEO) of the American Cancer Society, Inc. This role serves as a strategic scheduling and operational partner to the CEO and Chief of Staff, responsible for shaping executive time, ensuring organizational priorities are reflected in the CEO’s calendar, and maintaining a high level of executive readiness across engagements. *This is a remote position* ESSENTIAL FUNCTIONS: - Strategically manage and prioritize CEO’s calendar through forward-looking planning, independent judgment, and proactive issue-spotting to ensure schedules reflect organizational priorities and enable the CEO to operate with clarity, balance, and readiness. 30% - Lead end-to-end executive readiness by overseeing the preparation, quality assurance, and on-time delivery of decision-ready briefing materials; ensuring meetings have clear objectives and expected outcomes; and maintaining consistent standards, clarity, and completeness across all executive documents. 15% - Strategically oversee all aspects of domestic and international travel by researching optimal options, anticipating logistical needs, preparing comprehensive itineraries, coordinating travel for internal and external stakeholders, and proactively resolving travel and expense issues to ensure efficiency, readiness, and alignment with CEO priorities. 15% - Manage executive communications by triaging and prioritizing incoming inquiries, drafting high-level correspondence, and serving as a liaison with senior leaders and dignitaries, ensuring all interactions reflect professionalism, appropriate tone, and strong executive presence. 10% - Oversee operational and governance support for the Office of the CEO by resolving escalated inquiries, managing T&E and departmental expenses, maintaining CEO materials, coordinating Board-related commitments, stewarding key stakeholder and donor engagement processes, and supporting special initiatives and strategic projects. 30% EXPERIENCE/QUALIFICATIONS: - Minimum Degree Required: Bachelor's Degree or a combination of education and work experience - Preferred Degree: Bachelor's Degree - Certificate(s) or License(s): Project Management certification desirable but not required - Years of experience: 6+ years progressive experience supporting senior executives in complex environments; nonprofit or mission-driven organization experience preferred. KNOWLEDGE, SKILLS, AND ABILITY: - Strong judgment and independent decision making‑, including handling sensitive and confidential issues with discretion. - Advanced strategic planning and forward-looking coordination to ensure the CEO operates‑ with maximum effectiveness. - Expert scheduling and time management skills, including managing complex scheduling decisions and maintaining‑ clarity across shifting priorities. - Executive readiness and briefing expertise, with the ability to drive preparation processes and ensure high quality, ‑decision-ready‑ materials. - Exceptional organizational skills, attention to detail, accuracy, and persistence. - Ability to anticipate needs proactively and adapt quickly in a fast paced‑, evolving environment. - Strong relationship building and stakeholder management skills, representing‑ the Office of the CEO with professionalism to internal and external partners. - Excellent written and verbal communication, presentation, and interpersonal skills. - Advanced proficiency with scheduling and office software, including MS Word, Excel, Outlook, and other related tools. - Ability to manage multiple priorities simultaneously, including project management and meeting coordination. - Effective collaboration while operating independently, maintaining close partnership with the Chief of Staff and CEO. - Skill in interpreting, adapting, and applying guidelines and procedures. TRAVEL REQUIREMENTS: - Limited travel may be required to support CEO. May be required to respond to urgent needs after-hours or on weekends. PHYSICAL REQUIREMENTS: - Work is generally performed in a typical interior/office work environment. No or very limited physical effort required. The starting rate is $72,000 to $89,000. The final candidate's relevant experience/skills will be considered before an offer is extended.
