About the role:We're looking for a detail-oriented and driven Prepping Team Lead to oversee our Quote Prepper team and ensure the smooth, accurate processing of quotes, orders, and vendor catalogues. Reporting to the Estimation Manager, you will be the backbone of our quoting workflow, setting the standard for quality, training and coaching team members, and keeping our operations running efficiently as we scale. This is a hands-on role that combines operational coordination with people leadership in a fast-paced startup environment. What You’ll Do: - Oversee and coordinate the day-to-day activities of the Quote Prepper team. - Review, quality-check, and process quotes and orders with a high degree of accuracy. - Train, onboard, and mentor new Quote Preppers, establishing clear standards and best practices. - Ensure plant lists and client submissions meet company standards before processing. - Manage workload distribution and prioritization across the team to meet turnaround targets. - Maintain and update vendor catalogues and records in our inventory management system. - Identify process inefficiencies and collaborate with the Head of Operations to implement improvements. - Serve as a point of escalation for complex or non-standard quotes and orders. - Track team performance and report on key metrics to the Head of Operations. What You’ll Need: - 3-4 years of experience in a data entry, operations coordination, administrative, or supply chain role. - Demonstrated ability to train or guide others, with strong verbal and written communication skills. - Exceptional attention to detail and a systematic approach to reviewing and processing information. - Strong prioritization skills: able to manage multiple tasks and deadlines simultaneously without sacrificing accuracy. - Proficiency with CRM or data management tools (HubSpot or similar). - Comfortable with the Microsoft Office Suite (Word, Excel, PowerPoint). - Self-motivated with the ability to take ownership, work independently, and hold a team accountable. - Adaptable and comfortable in a fast-paced, ever-evolving startup environment. - Written and spoken proficiency in English. Preferred Qualifications: - Background in financial services, supply chain coordination, or a related field. - Prior experience in a lead or supervisory capacity—even informally. - Exposure to inventory management or ERP systems (e.g., SAP, NetSuite, or similar). - Genuine interest in the landscape, horticulture, or agricultural industry.
