Role Description The Operations Assistant is responsible for providing support to the Summer Work Travel program department during the peak season with a wide range of projects and reporting involving participant support, recruiting, data entry, vetting, and miscellaneous support needs. This position reports to the Director of Operations and provides excellent service to team members and clients while demonstrating the company values and supporting the mission. - Assist with updating applicant information on the Placement Tracker Report including adding biographical information of new applicants, updating statuses of participant application documents and sponsor interview. - Assist and monitor Host Interview Sessions, including final scheduling, confirming applicant acceptance/attendance, monitoring virtual waiting rooms, and following up on interview results. - Audit the Placement Tracker as requested to ensure that all information is up to date and aligns with expectations and requirements for designated allotments, vetting statuses, and verifying formulas are working properly. - Assist the vetting team as needed with follow-up or reminder phone calls or emails to complete vetting submissions. - Assist Participant Support with reviewing routine participant application forms to expedite recruiting eligibility of an applicant as needed. - Perform other duties as assigned. Qualifications - High school diploma or equivalent. - 2 years of experience in a customer service, front desk, receptionist, or call center role. - Ability to obtain a personal laptop or desktop with web camera and high-speed streaming internet. - Ability to work within the peak season schedule as assigned. - Ability to effectively work in collaboration with others to achieve business objectives. - Effective oral and written communication skills and excellent interpersonal skills. - Attention to detail, critical thinker, and problem-solving skills. - High standards for integrity, honesty, professionalism, and work ethic. - Commitment to service excellence. - Ability to work on multiple projects simultaneously while accomplishing daily tasks. - Ability to work independently while demonstrating excellent organization and follow-through. - Demonstrate flexible and efficient time management and ability to prioritize workload. - Ability and willingness to move with purpose and a strong sense of urgency. - Self-motivated, positive, and enthusiastic. - Self-starter with a strong desire to exceed expectations and capable of supporting a team. - Maintain confidentiality and discretion. - Willing to grow and be challenged. - Attend training as requested.

We are seeking an operations professional to help build up and lead our day-to-day operations across partnerships and run point on strategic marketing and recruitment projects and expansion priorities in Canada. As the Operations Coordinator, you will work closely with the Associate Vice President, Partnerships and Recruitment Strategy to build up and optimize daily operations across existing Canada partnerships, including with the University of Victoria and the University of Alberta. You will also lead on strategic projects related to Kaplan’s expansion in Canada, working with a number of teams, including our Global Marketing and Recruitment teams. As a key member of the Canada onshore team, you will also represent KIPCL on relevant committees and boards with both internal and external stakeholders.
