Mission of the Role The objective of this position is to deliver the ProfitCoach Experience (customized solutions, ease of doing business, and extraordinary service) by designing, implementing, monitoring, and improving property management processes for multiple property management companies utilizing ProfitCoach services

Job Requirements

  • Key Responsibilities:
  • Design and Implementation (75%):
  • Ability to conceptualize and design processes for core property management operations, Sales, new services, and client-specific needs.
  • Implement and test processes within workflow automation software, validating functionality and ensuring reliable execution across connected systems.
  • Process Optimization (10%):
  • Analyze existing processes and identify areas for improvement in terms of efficiency, task delegation, timelines, and opportunities for automation.
  • Review and optimize existing processes to align with PM Ops Standards, industry best practices, and client-specific nuances, to ensure consistent execution and eliminate redundancy across workflows.
  • Process Documentation (5%):
  • Own process documentation, including creating, revising, and maintaining SOPs for internal use and client engagements, ensuring they reflect current workflows and best practices.
  • Translate processes into clear visual diagrams using tools like LucidChart to support team alignment, training, and scalability.
  • Quality Assurance (5%):
  • Ensure that processes are designed and optimized in alignment with the PM Ops Standards, and industry best practices.
  • Implement measures to ensure consistent service quality while handling custom scenarios and exceptions.
  • Continuous Improvement (5%):
  • Champion a culture of continuous process development and improvement.
  • Collaborate with internal  teams to foster a mindset of efficiency and innovation.
  • Stay current on emerging tools within the PM tech stack, assessing their potential to improve processes and recommending solutions for client engagements.
  • Qualifications and Skills:
  • Technical Skills:
  • Strong understanding of workflow software processes and systems.
  • Proficiency in workflow design and no-code process automation tools (sp. Zapier).
  • Experience with LeadSimple, Aptly, and Appfolio software is preferred but not required.
  • Comfort exploring and leveraging AI tools
  • Communication Skills:
  • Excellent communication and interpersonal skills to collaborate with both clients and internal team members.
  • Ability to communicate complex technical concepts to non-technical audiences.
  • Problem-Solving Skills:
  • Strong analytical and problem-solving abilities to identify and address process-related issues.
  • Project Management:
  • Aptitude for project management, including planning, execution, and documentation.
