Project Manager III or Project Manager IV, Internal Projects Location: This is a hybrid role. Overview The Internal Projects team drives and supports high-impact, cross-functional business initiatives, ranging from one-time process or technology implementations to recurring business processes. This team continues to be a go-to resource for projects for the organization due to its consistent delivery of exceptional results, commitment to driving projects forward, and its highly collaborative partnership with our departments. We expect every member of the team to be passionate and dedicated and approach every project with the same sense of ownership and purpose as the departments the project is serving. In this role, you will act as a Project Manager and manage mission-critical projects that advance our organizational goals, such as implementing new business technologies, helping to design new/improve process workflows, or managing large scale organizational processes. As a member of the team, you will be responsible for the overall management and oversight of assigned projects, ensuring projects are completed effectively, projects resources are managed and supported, projects updates are provided on time and clearly, and monitoring post-rollout activity and feedback to ensure seamless adoption and sustained success. For each of your assigned projects, you will also lead the internal communication, documentation, and training aspects to ensure seamless adoption and long-term success. The ideal candidate is a results-oriented professional who thrives in a fast-paced environment and is highly organized, has strong interpersonal and communication skills and the ability to lead and engage inter-departmental project teams. This role will provide significant exposure to the WS organization and senior leadership as well as to a breadth of projects and company initiatives. Primary Responsibilities: · Project Management/Leadership: o Lead cross-functional projects (often large-scale initiatives affecting multiple teams and systems), from initiation to completion, ensuring milestones are met on schedule and within scope while proactively managing stakeholder expectations. o Define and manage project scope, timelines, budgets, and staffing to ensure successful delivery of milestones. o Proactively identify and mitigate obstacles and risks, ensuring project continuity and quality. o Be able to work and lead projects independently. · Financial management: Must have proven ability to develop and oversee the development of solid business cases to demonstrate the value proposition to move forward with a project. Additionally, must have proven ability to manage and oversee and report on project actual spend against budget. · Task Coordination: Develop and manage detailed project plans, timelines, deliverables, and resource requirements in collaboration with the project team. · Documentation: Create and maintain project documentation, including process workflows, communication plans, training materials, and status updates. · Team Collaboration: Facilitate productive project team meetings by preparing agendas, recording minutes, tracking action items, and following up to ensure project team accountability. · Stakeholder Communication: Provide regular project updates to stakeholders, ensuring transparency and alignment throughout the project lifecycle. · Standards and Best Practices: Adhere to and promote the team’s established project management standards, templates, procedures, and best practices. · Additional Duties: Perform additional responsibilities as assigned by your supervisor and other members of the team. Core Competencies and Qualifications: · Minimum of 4 years of project management experience leading internal, cross‑functional business initiatives such as process improvement, system or technology implementations, operational programs, or large‑scale organizational projects · Bachelor’s degree in business administration, project management, or a related field. · Proficiency with project management tools (e.g., Monday.com, Wrike) and Microsoft Office suite (Outlook, PowerPoint, Excel, Word). · PMP or similar project management certification a plus but not required. · Proven ability to manage multiple concurrent projects and effectively communicate with all levels of the organization, including senior leadership. · Strong interpersonal and communication skills, with a collaborative and customer-centric approach. · Strong public speaking and presentation skills, with demonstrated comfort presenting to groups and leading trainings. · Demonstrated ability to facilitate meetings with diverse stakeholder groups and align teams toward common goals. · Background in real estate and/or retail industries is a plus but not required. Today, the Company owns and operates approximately 10M square feet across 18 states. POSITION The Construction Project Coordinator will report to the Assistant Project Manager. LOCATION AND WORK HOURS The ideal candidate will provide virtual support to the Arizona office from any location throughout the Philippines. It is expected that the successful candidate will provide support from 8:00 am to 5:00 pm, Mountain Standard Time to align with the construction teams’ working hours. RESPONSIBILITIES Including, but are not limited to: - Support the Construction Team as needed to ensure all activities within each project are completed on time and deadlines are met. - Responsible for entering project information data and project documentation into project management software applications (Yardi, Elevate). - Provide project documentation control, creating an accurate and organized filing system - following company procedures. - Request and track all required Construction Project Documentation – including executed contracts, change orders, purchase orders, and close out documents. - Maintain accurate status tracking log for all Project Submittals and RFIs. - Assist with drafting, issuing, and tracking contracts and changing orders as needed. - Verify and track all vendor paperwork: including insurance, and business licenses. - Assist in reviewing vendor and contractor invoices for accuracy and completeness of support. - Effectively and accurately communicate relevant project information to the appropriate project team members. - Coordinate meetings, prepare meeting agendas, generate, publish, and distribute meeting minutes. - Prepare reports for the Construction team. QUALIFICATIONS - A minimum of 5 years of experience working for a leading construction company. - Graduated with honors from a reputable college is a plus. - Solid organizational skills, including the ability to prioritize and multi-task. - Working knowledge of Microsoft Office Suite, including Word, Excel, and Outlook. - Ability to communicate effectively and professionally with all levels of the organization and externally with vendors and other outside parties. - Ability to work independently and with minimum supervision. - Ability to work in a fast-paced environment. - Must possess strong work ethic. - Must be a team player. - Yardi experience preferred.
