Job Description

Lending Operations Associate

Hunt St

• Manage and process loan applications from initial intake through to settlement • Assist in credit applications, including collecting information, structuring deals, and using internal systems to assess eligibility • Prepare loans for settlement by verifying settlement details and ensuring all requirements are complete and accurate • Review and verify financial and supporting documents for completeness and accuracy • Coordinate with clients, brokers, and lenders to gather required information and provide status updates • Maintain accurate and up-to-date records in CRM and internal systems • Assist in preparing application summaries and documentation for credit review • Monitor pipeline activity and follow up on outstanding requirements • Collaborate with cross-functional teams via Slack, email, and virtual meetings to ensure smooth operations • Take ownership of tasks end-to-end, ensuring timely and high-quality delivery • Help test software features and functionality to support ongoing product improvements • Perform general administrative and virtual assistant tasks as needed • Support marketing efforts by assisting in the preparation of marketing videos and copy • Ensure compliance with internal processes and applicable regulatory standards • Identify inefficiencies in workflows and suggest improvements to enhance operations

Job Requirements

  • 1–3 years of experience in lending operations, financial services, or a related field
  • Strong attention to detail and ability to handle high-volume administrative tasks
  • Excellent written and verbal communication skills
  • Experience working with financial documents such as bank statements, credit reports, and tax records
  • Proficiency in Microsoft Office tools (especially Excel) and CRM platforms
  • Ability to work independently in a remote, fast-paced environment
  • Strong organizational and time management skills
  • Experience with Australian lending processes is a plus but not required

Who The Client Is:  Our client is a long-standing Australian organisation delivering specialist technical services that support the safe, efficient operation of complex facilities and environments. Role Overview:  We are seeking a highly organized and detail-oriented National Operations Coordinator to support and streamline operations across multiple sites. This role plays a critical part in ensuring efficient inventory management, production scheduling, reporting, and coordination with internal teams and external partners. The ideal candidate thrives in a structured environment, is proactive, and is comfortable working with systems and data to drive operational efficiency. Key Responsibilities:  Operations & Inventory Management - Manage inventory levels across multiple sites, ensuring stock is maintained within agreed minimum and maximum levels - Run and analyze re-order reports for manufacturing sites and warehouse transfers (WA, QLD, VIC, SA) - Freight analysis - Monitor inventory against manufacturing plans and proactively address shortages - Coordinate bulk tank supply chain management across key locations Manufacturing & Production Coordination - Drive and coordinate manufacturing schedules across three sites in collaboration with site managers - Create and manage work orders, including daily close-out (receipt) of completed work orders - Review receipted costs versus system average costs and flag significant variances Logistics & Supply Chain - Create transfer orders for warehouse replenishment across multiple locations - Booking freight transfers between warehouses and from warehouses to clients - Act as the main point of contact for third-party blenders (SA and VIC) for inventory coordination - Oversee freight in/out analysis and support cost optimization initiatives Purchasing & Cost Control - Support purchasing activities for tail-end requirements - Monitor warehousing and freight costs against budget and identify cost-saving opportunities Reporting & Analysis - Prepare and maintain operational reports, including: - Manufacturing performance (liters per hour vs KPI) - Work order completion metrics per site - DIFOT (Delivery in Full, On Time) for 3PL and blenders - Freight and warehouse cost analysis vs budget - Sales order and margin analysis on finished goods - Ensure accurate and timely reporting to support business decisions Stakeholder Coordination - Attend and contribute to regular operations meetings (e.g., Wizza meetings) - Coordinate daily communication and alignment across multiple sites and stakeholders
