Bookkeeper – Administrative

Paired

• Manage accounts receivable, including invoice tracking and payment follow-ups • Make 30–50 outbound calls per week (approximately one day) to customers with past-due invoices • Handle payment reminders and address basic invoice questions with professionalism • Maintain accurate financial records in QuickBooks • Process payments and reconcile accounts • Generate financial reports and statements as needed • Provide general administrative assistance to support daily business operations • Maintain organized filing systems (digital and physical) • Handle data entry and spreadsheet management • Coordinate communications between team members and customers • Support additional operational tasks as needed

Job Requirements

  • 1–2 years of bookkeeping experience
  • Proficiency with spreadsheets (Excel or Google Sheets)
  • Strong organizational skills and exceptional attention to detail
  • Excellent written and verbal communication skills
  • Comfortable making customer-facing phone calls
  • Solid understanding of basic accounting fundamentals
  • Ability to work independently and manage time effectively in a remote environment
  • QuickBooks experience (certification is a plus but not required)
  • Previous experience in home service businesses or similar industries
  • CPA certification or similar accounting credentials (bonus)
  • Familiarity with accounts receivable processes and collections

Role Description This role involves taking ownership of the behind-the-scenes work that keeps invoices, draws, and cost tracking accurate and on time. - Invoice intake and organization: pull all invoices from email, ensure every invoice is captured, filed, and accounted for. - Run Adaptive: review/correct coding, categorize invoices accurately, maintain clean vendor records, and flag issues promptly. - Job cost tracking: code invoices to the correct project and cost code; help maintain visibility into over/under by line item. - Monthly draw preparation: compile draw packages with required supporting documentation; align invoices with project schedule and progress for review. - Payment support: prepare items for bill pay (ACH/check), track payment status, and maintain clear records. - Lien waivers: request, track, collect, and file lien waivers and other closeout/compliance documents. - Estimating admin support: monitor estimating inbox, download/organize subcontractor bids by job, and input bid values into Excel templates for owner review. - Maintain organized digital files for invoices, bids, draw documents, contracts, scopes, and key project documentation. - Provide light support in project software (Co-Construct familiarity is a plus) when needed. - Help document and improve internal systems for invoicing, draw workflows, and estimating organization. Qualifications - 2 or more years supporting a construction company in accounting/bookkeeping, invoicing, job costing, or draws (residential construction preferred). - Strong understanding of construction invoicing and draws (WIP basics and timing awareness are a plus). - QuickBooks experience preferred (or strong ability to learn quickly). - Experience with invoice platforms/tools (bonus if you've used Adaptive or similar). - Strong Excel skills (comfortable working with cost tracking, templates, and large datasets). - Extremely detail-oriented with a "close the loop" mindset, able to manage high volume without losing items. - Clear written English and reliable communication in a remote environment. - Must reliably meet weekly check-ins and monthly deadlines. - Able to overlap with U.S. business hours consistently.
