Job Description

Inbound Logistics Coordinator

OX Tools Global

• Manage inbound shipments from global suppliers, ensuring timely delivery and compliance with import regulations. • Track shipments and proactively resolve delays or issues with carriers and brokers. • Ensure all import documentation is accurate and complete, including commercial invoices, packing lists, and bills of lading. • Maintain up-to-date knowledge of customs regulations and ensure proper classification using HS codes. • Liaise with freight forwarders and customs brokers to facilitate smooth import processes. • Negotiate rates and service terms to optimize cost and performance. • Communicate with warehouse teams to schedule inbound deliveries and ensure space availability. • Reconcile shipment receipts with purchase orders and resolve discrepancies. • Enter shipment details into ERP or logistics management systems accurately and in a timely manner. • Maintain records of all inbound shipments for audit and reporting purposes. • Serve as the primary point of contact for overseas suppliers regarding shipment status and documentation. • Build strong relationships to improve communication and reliability. • Track key performance indicators such as on-time delivery rates, cost per shipment, and customs clearance times. • Provide regular reports to management with insights and recommendations. • Monitor inbound logistics costs and assist in budget planning. • Identify cost-saving opportunities through carrier selection, route optimization, and consolidation. • Stay informed on international trade laws, US customs laws, import restrictions, and safety standards. • Ensure all inbound logistics activities comply with company policies and legal requirements. • Identify inefficiencies in the inbound logistics process and propose solutions. • Participate in cross-functional projects to enhance supply chain operations.

Job Requirements

  • 3+ years of experience in inbound logistics or international shipping coordination (specifically USA)
  • Strong knowledge of HS codes and customs documentation requirements
  • Experience working with freight forwarders and customs brokers
  • Proficiency in logistics software and ERP systems (NetSuite preferred)
  • Excellent organizational and time management skills
  • Strong communication skills, both written and verbal
  • Ability to analyze data and generate actionable insights
  • Detail-oriented with a high level of accuracy in documentation
  • Understanding of international trade regulations and Incoterms
  • Ability to work independently and collaboratively in a fast-paced environment.
