Executive Assistant – Operations Focused

• Manage inbox and calendar with strong prioritisation • Draft clear, professional responses independently • Track follow-ups so nothing slips through the cracks • Maintain fast response times to leadership messages • Maintain HubSpot (pipeline updates and data hygiene) • Track sales stages accurately • Coordinate meetings with prospects during the sales cycle • Support onboarding documentation and internal coordination • Draft MSAs, NDAs, and basic agreements from templates • Coordinate signatures and organise contract records • Keep documentation systems clean and structured • Take operational initiatives from concept to completion • Research tools, vendors, and process improvements • Support light project coordination across sales, marketing, and ops • Improve workflows using AI and automation • Help build systems in areas where none currently exist

Job Requirements

  • Have at least 1 year of consistent EA experience
  • Have worked in a startup, tech, or fast-paced agency environment
  • Naturally take ownership of tasks without being chased
  • Can start and finish projects independently
