Office Assistant – Executive & Operations Support

• Respond to customer inquiries via phone, email, and messaging platforms • Provide clear and professional responses regarding services, pricing, and scheduling • Assist customers in booking appointments or consultations • Follow provided scripts to qualify potential customers • Collect required information and ensure correct lead qualification • Route qualified prospects to sales teams • Schedule and coordinate appointments efficiently • Manage calendars and appointment logistics • Communicate schedules with both customers and sales teams • Provide administrative assistance to sales representatives • Follow up internally to ensure appointments and sales tasks are completed • Monitor pending tasks assigned to sales staff • Send reminders and follow up on overdue actions • Support teams in maintaining accountability and deadlines • Track daily operational activities and team follow-ups • Assist in logistics coordination and operational planning • Help ensure smooth execution of field operations and appointments • Contact closed clients to request reviews and feedback • Provide instructions for leaving reviews on platforms • Follow up when necessary to increase review completion • Assist with QuickBooks Online and operational data entry tasks • Maintain accurate records across systems

Job Requirements

  • Previous experience in customer service, administrative support, or office coordination roles
  • Strong written and verbal communication skills in English
  • Strong organizational and multitasking abilities
  • Experience working with CRM systems
  • Familiarity with VoIP communication platforms (RingCentral or similar preferred)
  • Spreadsheet and data-entry experience
  • Familiarity with marketing tools such as Canva is a plus
  • Ability to work independently and within distributed teams
  • Basic financial data-entry familiarity is preferred

Role Description The Senior Associate, Live Operations Parcel Strategy & Operation will own the day-to-day operations supporting the team that is our first line of support for our sortation and transportation network. They will work with both internal and external stakeholders to manage site operations and live escalations in direct partnership with our Regional and transportation leaders. This role reports directly to the Manager, LiveOps. We expect this role to be up to 20% travel, with primary focus on supporting a geographically separated and diverse LiveOps team in a remote capacity. You’re excited about this opportunity because you will… - Own: Oversee the live, tactical operations of 60+ locations and associated transportation lanes across a national hub and spoke network, ensuring all site processes run smoothly, efficiently, and safely across a heavily externalized partner network. - Strategize: Design, build, and execute data-based alerting to inform larger scale initiatives and where resources may need to be diverted live to improve quality outcomes. - Delight customers: Work cross-functionally with central teams to ensure your team is prioritizing initiatives to ensure customers the best experience on each and every order and your team is equipped with the tools, resources, and support needed to achieve these goals. - Be Flexible: Core hours may shift based on business needs and operational availability will provide opportunities to interface with central and ground teams across the network supporting 24/7 operations. Qualifications - You solve problems from first principles. - You’re unafraid of ambiguity. - You’re analytical with excellent Excel / Google Sheets / data analysis skills. - You’re a proven leader with 3+ years of leadership experience in an operations-heavy environment. - You can flex between live escalations and day-to-day operational details. - You act like an owner, taking initiative to drive incremental improvement. - You have 2-4+ years’ experience in on-the-ground warehousing or logistics, preferably in the 3PL space. - You have familiarity with SQL or data manipulation to draw conclusions.
