• Manage calendars for senior leaders, schedule and coordinate meetings and calls, handle email and phone communications, prepare agendas and materials, and take meeting notes • Maintain organized digital filing systems, prepare expense reports and process invoices, support project coordination and track deadlines, assist with client deliverables and proposals, and coordinate with team members and external partners • Coordinate travel arrangements, itineraries, and logistics; support virtual and in-person event planning as needed • Draft and proofread communications in English and Spanish, maintain templates and SOPs, and ensure information is handled with discretion • Support special projects, research, and tasks that enable leaders to focus on strategic priorities
Job Requirements
- Experience in administrative, operations, customer service, or virtual assistant roles
- Fluent in English and Spanish (written and verbal) — REQUIRED
- Expert-level proficiency in Google Workspace and Microsoft Office
- Experience with calendar management and project management tools (e.g., Asana, Trello, ClickUp, or similar)
- Excellent organizational skills, attention to detail, and ability to manage competing priorities
- Ability to work independently and proactively in a remote environment
- High level of discretion, professionalism, and confidentiality
- Clean criminal background check (required upon offer)
- Previous experience supporting C-level executives (Nice to Have)
- Familiarity with CRM systems (Nice to Have)
