Senior Project Coordinator, PM

• Calendar Architecture: Optimize the CEO’s schedule to protect "Focus Time" for high-level firm strategy and growth. • Leadership Liaison: Serve as a bridge between the CEO (Vision) and the COO (Execution), ensuring that leadership remains aligned on all firm initiatives. • Bilingual Intake: Lead initial recruitment and intake calls with potential clients in both English and Spanish, ensuring a professional and empathetic first impression. • Documentation Management: Collect and organize critical client documentation, including financial records and legal files, ensuring everything is ready for the legal team. • Strategic Monitoring: Coordinate and track the progress of firm-wide projects across marketing, technology, and legal operations. • Team & Vendor Accountability: Follow up with suppliers and internal team members to ensure milestones are met and initiatives stay on track. • Systems Building: Document standard operating procedures (SOPs) and help build the internal systems that will allow the firm to scale its caseload efficiently.

Job Requirements

  • Fully Bilingual (C2 Level): Professional fluency in both English and Spanish (written and spoken) is essential for client-facing work.
  • Proactive Structurer: You don't wait for instructions. You create order out of chaos and build structure where it is missing.
  • Polished Communicator: You are comfortable speaking with clients during sensitive intake calls and representing the firm professionally.
  • Multitasking Expert: You can handle multiple strategic projects simultaneously without sacrificing attention to detail.
  • Tech-Savvy: Proficiency in Google Workspace, CRM systems (legal or general), and Notion.
